Executive Assistant Job Description The Executive Assistant provides high-level administrative support to the President. This role requires discretion, responsiveness, excellent communication skills, and a proactive mindset. Responsibilities Manage and maintain the executive's calendar, coordinating internal and external meetings. Organize logistics for leadership meetings, including agenda preparation, meeting notes, and follow-ups. Maintain executive correspondence by opening, sorting, filing, and distributing mail and email appropriately. Prepare reports, presentations, and documentation as requested. Process and track expense reports and liaise with accounting on behalf of the executive. Handle confidential materials and information with professionalism and discretion. Assist in planning and executing internal events, training, and celebrations. Support special initiatives and projects as assigned, focusing on improving efficiency and communication. Assist the executive in the completion of reports, correspondence, documentation, and expense reports. Track and provide statistical data as needed by the Executive. Take on special projects as needed. Essential Skills Bachelor's degree in business, project management, or related subject area. 3 or more years of experience in A/E contracting, design, and construction. Proficiency in BQE and Microsoft Office Suite. Additional Skills & Qualifications Industry experience is a plus but not necessary. Experience with an ATS System. Work Environment This position will be in an open office work environment. The role requires on-site presence with opportunities to engage in various projects and events, promoting a collaborative and dynamic work atmosphere. Job Type & Location This is a Contract to Hire position based out of Cary, NC. Pay and Benefits The pay range for this position is $24.00 - $36.00/hr.
