Position Summary The primary purpose of the position is to support the Chair of the Department of Anesthesilogy in coordinating and managing various activities within the department. This position manages schedules, meeting arrangements, and travel. The position provides support for special projects and reporting responsibilities as needed. Responsibilities include responding to requests for information and data, managing administrative support for committees and professional meetings, and composing/transcribing/editing correspondence. In partnership with departmental HR representatives, the position coordinates faculty candidate recruitment interviews. Other Responsibilities (including but not limited to the following) Providing direct support to the Chair, Executive Vice Chair, and Associate Chair for
Administration:
Maintaining calendars, including meetings and lectures Scheduling all travel and create itineraries Managing verbal and writtencommunication to faculty and staff Assisting department leadership with scheduling and communication Coordinating and taking attendance and minutes at department faculty and staff meetings Coordinating faculty recruitment: Providing assistance to the Chair, Associate Chair for Administration, Business Manager, and departmental HR staff in regards to recruitment, appointment, reappointment, promotion and post tenure reviews of faculty and EHRA non-faculty, including onboarding and offboarding Arranging visits and prepare itineraries including meals, hotels and transportation Serving as a liaison between applicants and the search committee Minimum Education and Experience Requirements High school diploma or equivalency and three years of progressively responsible administrative/office management experience; OR Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; OR Bachelor's degree, preferably in business administration or a related discipline; OR Equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. Management Preferences Experience with Connect Carolina/PeopleSoft, Microsoft Outlook, Word, Excel, and PowerPoint. Professional experience in higher education, preferably in an academic medical or healthcare organization. Experience with WebEx, Skype, or other remote meeting program.
