- Upland Private Wealth is seeking an Executive Assistant to serve as a dependable administrative and client-service support partner for a high-touch advisory team.
- Manage the team's appointment process, including scheduling and confirming client meetings
- Follow up with clients when appointments need to be scheduled or rescheduled
- Track scheduling-related tasks to ensure deadlines, reminders, and follow-up items do not fall through the cracks
- Help advisors remain organized and prepared by anticipating calendar needs, meeting preparation items, and next steps
- Coordinate client appointments, internal meetings, and related logistics with professionalism and accuracy
- Serve as a reliable support resource who helps make the advisors' days more organized and efficient Client Administrative Reviews & CRM Follow-Through
- Assist with lighter administrative client-service items, including beneficiary reviews, address reviews, and contact information updates
- Gather, verify, and update routine client information with accuracy and attention to detail
- Interact directly with clients for straightforward administrative needs in a polished and professional manner
- Document required client servicing activities in the CRM according to the firm's established servicing structure
- Track follow-up items, recurring tasks, and service deadlines through completion
- Ensure details, deadlines, and client-service tasks are captured clearly so nothing gets lost Office Administration, Events & Light Technology Support
- Support general office administration, including ordering supplies, scanning receipts, maintaining organization, and assisting with miscellaneous administrative projects
- Assist advisors and team members with day-to-day administrative needs, internal coordination, and special projects as assigned
- Support travel planning, event planning, event logistics, and related administrative coordination for client and team events
- Provide basic technology assistance for straightforward issues such as password resets, user ID setup, and common client or user troubleshooting needs
- Assist with light marketing support as capacity allows, such as basic social media coordination, social media posting, or simple website updates
- Partner with the team while maintaining clear separation from higher-risk technical operations such as account opening, money movement, trading, and sensitive client operations Requirements What We're Looking For Required Qualifications
- 1-3+ years of experience in administrative support, executive assistance, office coordination, client service, healthcare administration, professional services, banking, legal administration, hospitality, event coordination, or another high-touch administrative environment
- Exceptional organization, dependability, punctuality, and follow-through
- Strong attention to detail when managing calendars, client information, CRM tasks, records, deadlines, and administrative follow-up items
- Professional written and verbal communication skills with comfort interacting directly with clients
- Ability to anticipate advisor needs, take ownership of tasks, and work proactively without requiring constant direction
- Comfort juggling several small priorities simultaneously while keeping details, deadlines, and next steps organized
- Technologically comfortable with general office systems, Microsoft Office, Outlook, Word, Excel, Teams, CRM tools, and basic user troubleshooting
- High degree of discretion and sound judgment when handling confidential client and firm information Preferred Qualifications
- Prior experience in wealth management, financial services, banking, insurance, accounting, legal, healthcare administration, professional services, or another client-focused environment is helpful, but not required
- Experience managing a high volume of clients, patients, customers, or appointments with strong organization and follow-through
- Familiarity with CRM systems, scheduling tools, digital filing, document management, or e-signature platforms
- Experience coordinating travel, events, client meetings, office hospitality, or administrative logistics
- Exposure to light marketing support, such as social media coordination, basic website updates, or simple content posting Why Join Upland Private Wealth? Competitive base salary of approximately $55,000
