Job Overview:
The Lebanon School District is seeking an Executive Administrative Assistant to the Superintendent to provide administrative and executive secretarial support to the Superintendent of Schools.
Requirements:
Bachelor's degree or higher level of education is preferred. 3 + years of prior experience as an Administrative Assistant is preferred.
Job Responsibilities:
Assist in the preparation of records for examination by auditors Responds to questionnaires, surveys, and correspondence from research and professional organizations requesting information on personnel and salary programs Oversees the Superintendent's calendar and schedule Works with the Superintendent to prepare the monthly newsletter Schedules budget meetings with the Building Leaders and the School Board Prepares reports and documents, presentations on behalf of the Superintendent Prepares agendas, information, correspondence, and reports for board and committee meetings and uploads all information to the website. Maintains and assures publication of the calendar of regular and special meetings for the Board Prepares and supervises the preparation of materials and postings for annual and special meetings of the district, including warrants, ballots, and legal ads Processes and schedules grievance information and hearings, and serves to record grievance hearings when requested Communicates, receives, and maintains official files of privileged and confidential information from various attorneys serving the district Conducts research to support the activities of the Superintendent Reviews personnel recommendations and supervises the preparation of the Superintendent's requests and reports to the Board Responds to telephone, written, or in-person requests for information from the district and external sources Prepares purchase orders for the Superintendent Responsible for following on any residency inquiry as requested by the Superintendent or School Board Responsible for preparing/updating and maintaining existing and newly adopted School Board Policies and upload into Board Docs as policies are adopted Receive and process signed contracts and evaluations by distributing them to the proper parties Schedule all School Board and Committee meetings in the District Reservation System and the District Calendar Work on grants and other executive tasks from the leadership team. Responsible for sending out the School Messenger messages for school closings/delays and a reminder for all regular school board meetings Serves as Notary Public May fingerprint prospective employees and volunteers All other duties as assigned by the Superintendent.

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to use hands to finger, handle, or feel objects, tools, or controls and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move items weighing up to 15 pounds. Specific vision ability required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
