TOWN OF WOLFEBORO MUNICIPAL ELECTRIC DEPARTMENT EXECUTIVE ADMINISTRATIVE ASSISTANT
The Town of Wolfeboro Municipal Electric Department is seeking qualified applicants for the full-time position of Executive Administrative Assistant. This position is a full-time, salaried employee with exempt status, working 40 hours/week. Starting salary of this position is ($54,600/Year) equivalent to a rate of ($26.25/Hr.)JOB SUMMARY
Performs highly responsible administrative, clerical and technical support services associated with the management of a Municipal Electric Department.SUPERVISION RECEIVED
Work is performed under the general supervision of the Electric Department Director of Operations with considerable operational independence.SUPERVISION EXERCISED
None unless specifically assigned.EXAMPLES OF DUTIES
(Position may not include the duties listed nor do the listed examples include all duties, which may be found in this position.) Performs a variety of customer service functions including receiving, routing and responding to phone calls, inquiries and messages. Assists customers with utility service requests, applications, easements and line extension agreements. Prepares project cost estimates, job work invoices, purchase orders, billing manifests and expenditure tracking based on departmental policies and procedures. Solicits bid pricing and prepares orders for weekly procurement of operating equipment and supplies. Prepares documents and invoices for phone, cable and third-party pole attachments. Processes weekly payroll and personnel documents for finance office. Maintains plant records and filing system for all departmental functions including meter accounts, poles, transformers and material inventory. Schedules customer appointments for Utility Field Planning staff. Prepares miscellaneous correspondence including letters, memos, notifications, reports, and schedules for staff and customers as required. Assists with recording trouble calls and dispatching crews during storm/outage events. Posts power outage information updates on various social media platforms and maintains Department's Website postings.KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
Ability to prepare, maintain and record electronic files and paperwork in an organized manner. Ability to provide and comprehend written and oral instructions to complete required tasks within desired time constraints. Ability to deal effectively with customers under difficult and sometimes stressful situations. The successful candidate will be able to perform multiple tasks accurately, responsibly, and timely with limited supervision. Must be courteous and knowledgeable of Department policies and procedures to promote positive public and employee relations. Proficient computer and word processing/spreadsheet capabilities utilizing Microsoft Office Word/Excel. Ability to comprehend various technical documents including expenditure reports, site plans, deeds, work orders, permits and specifications. Ability to perform relatively complex mathematical computations. Availability to respond to work at all hours required during emergency storm and outage events.MINIMUM EDUCATION AND EXPERIENCE REQUIRED
Associate's degree with experience in an advanced administrative field. Preferred candidates will have a minimum of three (3) years' experience working within a utility or construction-based organization. Successful customer service experience with 2-3 years of experience is an essential requirement of this position. Equivalent combination of education, training, and experience working in the Public Sector.WORKING CONDITIONS
