Job Description:
One of our clients, a growing professional services firm, is seeking an experienced Executive Assistant to support two Directors in a fast-paced, client-focused environment. This role is ideal for someone who enjoys being the go-to person behind the scenes, thrives on keeping executives organized, and can confidently manage multiple priorities while maintaining a high level of professionalism and discretion. The Executive Assistant will serve as a true business partner to leadership, providing seamless support across calendar management, travel coordination, meeting logistics, expense reporting, and special projects. The right person is proactive, detail-oriented, and able to anticipate needs before they arise. Responsibilities
- Manage complex and frequently changing calendars for two Directors, including internal and external meetings, client appointments, and strategic planning sessions
- Coordinate domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and travel documentation
- Prepare and process expense reports, invoices, and reimbursement requests in a timely and accurate manner
- Plan and coordinate executive meetings, team events, client functions, offsites, and other firm-sponsored events
- Serve as a liaison between executives, clients, vendors, and internal stakeholders
- Prepare meeting materials, agendas, presentations, and follow-up action items as needed
- Monitor competing priorities and proactively identify scheduling conflicts or opportunities for greater efficiency
- Support special projects and administrative initiatives across the business
- Handle confidential information with professionalism and discretion
- Assist with additional executive and operational support duties as needed Qualifications
- 5-10 years of Executive Assistant experience supporting senior-level leaders
- Experience supporting multiple executives simultaneously in a professional services, consulting, legal, accounting, financial services, or similar corporate environment preferred
- Extensive experience managing complex calendars across multiple time zones
- Strong domestic and international travel coordination experience
- Experience preparing and processing executive expense reports
- Proven event planning and meeting coordination experience
- Exceptional organizational skills with strong attention to detail and follow-through
- Ability to prioritize effectively in a fast-paced environment with shifting deadlines
- Strong communication and relationship-building skills
