Job Description

REED Autism Services is seeking a highly organized, proactive, and professional Executive Administrative Assistant to support executive-level leadership, including the CEO, CFO, and COO. This role is ideal for someone who thrives in a fast-paced environment, exercises strong judgment and discretion, and excels at managing multiple priorities while serving as a trusted partner to executive leadership. The Executive Administrative Assistant will perform a variety of administrative and coordination tasks requiring exceptional attention to detail, professionalism, confidentiality, and the ability to work independently. Responsibilities include managing calendars, preparing expense reports, organizing meetings and events, preparing related materials, and supporting organizational initiatives across the leadership team. This individual will also serve as an important gatekeeper for executive leadership, helping to filter competing priorities, manage communications, and ensure leaders remain focused on strategic initiatives.

Pay:

Possesses exceptional organizational, prioritization, and multitasking skills, with the ability to manage multiple executives, deadlines, and shifting priorities simultaneously. Communicates clearly, professionally, and confidently, both verbally and in writing with executives, board members, employees, and external partners. Is highly responsive, detail-oriented, resourceful, and solutions-focused, with strong problem-solving abilities and reliable follow-through. Demonstrates strong relationship-building skills and a customer-service mindset that contributes positively to organizational culture and collaboration. Is comfortable with technology, including strong Google Workspace knowledge and the ability to coordinate effectively with IT support and organizational systems. Has compassion, believes in the mission of REED Autism Services, and is committed to supporting an organization that expands opportunities for individuals with autism. Demonstrates the ability to effectively support executive leadership by managing communications, prioritizing competing demands, and exercising sound judgment and professionalism in high-pressure environments.
Key Responsibilities:
Act as the point of contact among executives, employees, clients and other external partners Manage information flow in a timely and accurate manner Manage executives' calendars and schedule meetings Handle internal and external communications, draft correspondence Organize and coordinate meeting logistics for staff and board members Anticipate the needs of the organization and create efficiencies amongst the leadership team Support cross-functional projects and organizational initiatives by coordinating timelines, follow-ups, deliverables, and communication on behalf of executive leadership.
Manage general office needs:
Screen and direct phone calls, distribute correspondence, troubleshoot, maintain and order supplies. Maintain professionalism, composure, and strong attention to detail in a fast-paced, high-accountability environment with shifting priorities. Organize and maintain files in GoogleWorkspace Track and follow up on key action items, decisions, and deliverables on behalf of the executive team. Prepare executive reports, information, summaries, and background materials to support informed decision-making. Respond to urgent issues and shifting priorities with sound judgment, adaptability, and composure Build and maintain strong, professional relationships with internal and external stakeholders on behalf of the executive team. Serve as the liaison between executive leadership, and the onsite IT team, communicating technology needs, troubleshooting issues, and ensuring timely resolution.
Experience and qualifications requirements:
A minimum of 3 years experience supporting senior executives (CEO, COO, CFO, or equivalent) 5+ years of administrative experience required A minimum of associate's degree. Bachelor's degree in Business Administration, Communications, or a related field preferred Proficiency in Google Workspace, Microsoft Office (Word, Excel, PowerPoint) and general office technology Nonprofit, healthcare, education, or mission-driven organization experience preferred Strong experience managing calendars, meetings, communications, reports, and confidential information Exceptional organizational, multitasking, prioritization, and problem-solving skills Excellent written and verbal communication skills with strong professionalism and discretion Ability to work independently in a fast-paced, high-accountability environment Strong judgment, initiative, reliability, and attention to detail required Commitment to the mission of REED Autism Services preferred This is an excellent opportunity for a detail-oriented professional who is passionate about supporting executive leadership and contributing to the mission-driven work of REED Autism Services.
