Job Description A Leading Global Commercial Insurance Provider in Midtown Manhattan is seeking a new Full-Time/Perm Executive Assistant to support a C-level Executive. Candidates must have a minimum of 7-10+ years of applicable high-level or C-level experience and a Bachelor's degree is required/strongly preferred. They also must be based in NYC! Ideal candidates should be extremely polished and professional, flexible, resilient, proactive, confidential, detail-oriented, resourceful, accustomed to working in a fast-paced, high-pressure environment, and possess a 24/7 mentality, exceptional judgement, and discretion and the ability to manage constant change, competing priorities, and frequent travel demands. The Executive is incredibly nice and looking for a highly trusted strategic partner! Salary depends on experience (150-175k+ base), plus paid overtime and discretionary bonus eligibility. Hours are 8:30am-5:30pm, with flexibility for overtime (24/7 mentality - check emails after hours as necessary and periodically check in on weekends for his travel). 5 days in office.
Responsibilities:
Provide comprehensive, right hand administrative support to the executive, managing schedules, priorities, and communications with precision and discretion. Act as a gatekeeper and liaison between the executive and internal/external stakeholders, including board members, senior leaders, investors, and partners. Anticipate needs, proactively solve problems, and handle sensitive matters with absolute confidentiality. Own end?to?end calendar management across global time zones. Prepare agendas, briefing materials, presentations, and follow up action items. Arrange complex domestic and international travel on short notice and with frequent changes, including flights, accommodations, ground transportation, and visas as needed. Proactively manage itinerary changes and handle disruptions calmly and efficiently. Prepare and submit accurate expense reports, ensuring compliance with company policies. Maintain a high level of accessibility and responsiveness, including availability as business needs require outside of standard business hours. Support urgent requests with professionalism and composure. Track priorities, deadlines, and deliverables; ensure follow through on commitments. Partner with other executives' assistants and teams to ensure alignment and efficiency. Manage the local facilities support services. Support special projects and ad hoc initiatives as assigned.
Required Qualifications:
Minimum 7+ years of experience supporting a front office C level executive. Bachelor's degree required/strongly preferred. Proven ability to operate effectively in high pressure, fast?moving environments. Strong judgment, emotional intelligence; able to handle challenging situations with professionalism. Exceptional organizational and time management skills with strong attention to detail. Excellent written and verbal communication skills. Ability to manage multiple priorities simultaneously. Advanced proficiency in Microsoft Outlook, Teams, PowerPoint, Excel, and related tools. Calm, confident, and unflappable demeanor. Highly adaptable and comfortable with ambiguity.
