Competitive and commensurate with experience Overview A fast-growing, mission-driven organization is seeking a highly organized, adaptable, and professional Executive Assistant to provide high-level administrative support to a senior executive. This is an opportunity for someone who thrives in a fast-paced environment and is comfortable managing a demanding and frequently changing schedule. The ideal candidate will demonstrate exceptional judgment, discretion, responsiveness, and attention to detail while anticipating needs and managing competing priorities. This position is based onsite in New York City five days per week. The role will initially begin as a temporary assignment anticipated to last approximately three to four weeks, with the potential to convert to a permanent position based on performance and mutual fit. The Role As an Executive Assistant, you will serve as a trusted administrative partner responsible for keeping the executive organized, informed, and operating efficiently. You will manage a complex calendar, coordinate meetings and logistics, respond to shifting priorities, and ensure day-to-day administrative responsibilities are executed seamlessly. This is not a traditional 9:00 a.m. to 5:00 p.m. role. The schedule will align with the executive's business needs and may occasionally require early mornings, evenings, or flexibility around last-minute changes. The successful candidate will be calm under pressure, highly responsive, resourceful, and comfortable operating in a dynamic environment. Key Responsibilities Manage a complex and frequently changing executive calendar, ensuring priorities are appropriately scheduled and organized. Coordinate internal and external meetings, appointments, conference calls, and other commitments. Arrange travel and related logistics, including transportation, accommodations, itineraries, and schedule changes. Proactively identify and resolve scheduling conflicts. Serve as a trusted administrative partner and respond quickly to changing priorities and time-sensitive requests. Exercise discretion and sound judgment when handling confidential information and sensitive communications. Track important tasks, deadlines, and follow-up items to ensure timely completion. Maintain clear and professional communication with internal and external stakeholders. Prepare materials, correspondence, and other administrative documentation as needed. Support special projects and additional administrative responsibilities as assigned. Maintain a high level of professionalism when representing the executive and organization. Provide flexibility outside of traditional business hours when business needs require it. Schedule & Availability This position is onsite in New York City five days per week. Hours will generally be driven by the executive's schedule and business needs rather than a strictly fixed schedule. Candidates should be comfortable with occasional early mornings, evenings, and last-minute calendar changes. The position will initially begin as a temporary assignment anticipated to last approximately three to four weeks. Candidates who demonstrate strong performance may be considered for a permanent Executive Assistant opportunity. Who You Are Previous Executive Assistant, Administrative Assistant, or high-level administrative support experience preferred. Entry-level candidates with exceptional organizational skills, professionalism, and executive presence may also be considered. Highly organized with excellent attention to detail and follow-through. Able to manage multiple competing priorities and deadlines. Calm, resourceful, and composed in a fast-moving environment. Flexible and adaptable when priorities or schedules change. Excellent written and verbal communication skills. Professional, polished, and discreet. Comfortable handling confidential and sensitive information. Strong problem-solving skills and ability to anticipate needs. Able to work onsite in New York City five days per week. Comfortable supporting a demanding executive schedule.
