About the Role We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive administrative and operational support to multiple executives. This position requires exceptional organizational skills, discretion, adaptability, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate is a self-starter who anticipates needs, solves problems, and ensures executives can focus on strategic priorities by managing day-to-day administrative and logistical responsibilities. Responsibilities Provide administrative support to multiple executives. Manage complex calendars and coordinate meetings across multiple time zones. Schedule appointments, conference calls, and travel arrangements. Prepare and coordinate meeting spaces, including arranging refreshments, beverages, and catering for executive meetings and guests. Maintain confidential and sensitive information with the highest level of discretion. Coordinate domestic and international travel, including itineraries, accommodation, and expense reporting as needed. Track action items and follow up to ensure timely completion. Organize files, records, and executive documentation. Serve as a liaison between executives, employees, customers, vendors, and external stakeholders. Perform other administrative and operational duties as assigned. Run occasional business-related errands, such as picking up meeting materials, client gifts, or other time-sensitive items. Provide limited personal assistance to owners as needed, including coordinating appointments, deliveries, and other occasional errands that support executive productivity. Anticipate executive needs and provide proactive administrative and logistical support to ensure smooth daily operations. Qualifications 5+ years of executive or administrative support experience. Experience supporting multiple senior executives simultaneously. Excellent organizational and time management skills. Outstanding written and verbal communication skills. Strong attention to detail and ability to multitask. High level of professionalism and discretion when handling confidential information. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Microsoft Teams. Experience with calendar management, travel coordination, and expense reporting. Ability to work independently and prioritize competing demands in a fast-paced environment. Preferred Skills Bachelor's degree preferred. Experience supporting executive leadership in a corporate or government contracting environment. Experience planning meetings, events, and executive travel.
