We are looking for an Executive Admin to be the broker's right hand and a driving force behind our growth. This is not a sit-in-the-corner admin job. You will help build the systems, create and release social media content, plan parties and events, manage correspondence, and jump on whatever needs to happen to keep the business moving. What You Will Do Be the Broker's Right Hand (Core Focus) You catch and complete the tasks that pop up all day so nothing slips: Manage the phone and calendar during set hours and book pre-qualified appointments Send the follow-ups the broker commits to, and prep materials for client appointments Set clients up on tools like RealScout and Address Income Help with listing prep and buyer showing coordination Handle the small, time-sensitive stuff for agents and clients before it lands back on the broker's plate Run the Marketing Machine (Core Focus) You own the day-to-day of our client marketing so our past clients and sphere never forget about us: Post to Instagram daily and make about 10 personal social outreaches a day Send a monthly email newsletter and set clients up on tools like Homebot Create and send a quarterly mailer, and support the broker's quarterly text campaign Promote events and handle friendly, low-complexity outreach to our database (about 100 contacts per week) Coordinate a quarterly charity event, our annual client party, and annual client gifts (yes, including cookies)
Note:
This role is not licensed and does not do real estate sales. The broker handles all sales conversations; you drive the consistency and volume behind the scenes. Projects (AKA "Rocks": Where the Bonus Lives) You'll be assigned mission-critical projects each quarter that help drive forward the mission of the company. Often this includes the creation of systems or assisting in making new hires Making new systems includes documenting our repeatable standard operating procedures (SOPs) using Whale.io and our 4 Square System so the whole team can run them (don't worry if this is unfamiliar - I'll teach you - just make sure you like the idea of writing out recipes that your teammates can follow to do things successfully) For Quarter 3 of 2026, you will turn our marketing playbook into something that can be delegated and scaled as we grow Most bonus pay is tied to nailing these projects, and real room to grow into leading other staff.
Compensation and Benefits Pay:
$62,400/year base ($30/hour), plus performance bonus up to $12,000/year for hitting quarterly goals (on-target earnings around $74,000)
