JOB TITLE
Executive Assistant
REPORTS TO
Chief Operating Officer The following statements reflect the general duties, responsibilities and competencies considered necessary to perform the essential functions of the job and should not be considered as a detailed description of all the work requirements of this position.
RESPONSIBILITIES
Provide support to COO primarily and provides additional support to executive team members as directed Manage professional and personal scheduling for COO, including agendas, mail, email, phone calls, client management, and other company logistics Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives Manage senior executives' travel logistics and activities, including accommodations, transportation, and meals Provide administrative and office support, such as typing, dictation, transcription, minutes, spreadsheet creation, faxing, and maintenance of filing system and contacts database Organize team communications and plan events, both internal and off-site Compiles and analyzes basic information and prepares statistical data for reporting purposes. Prepares presentation materials; creates power points, charts, graphs, tables, graphics, etc. Maintains office inventory and supplies as needed Maintain professionalism and strict confidentiality with all materials Maintain calendars through Microsoft Outlook Cover executive office telephones and assist other staff, as needed Prepare materials for distribution Special projects as assigned
QUALIFICATIONS
5-10 years relevant experience and college degree preferred Strong written and oral communication skills High proficiency in Word, Excel, Outlook, and Power Point Ability to learn and be efficient in new software (training will be provided) Able to work independently and manage workflows in a fast paced and highly confidential environment Excellent organizational and time management skills High attention to detail Ability to multi-task with efficiency and accuracy
SALARY:
$55,000- $65,000 MORE
