Hamburg Overhead Door is seeking a highly organized, dependable, and technology-comfortable Executive Assistant & IT Coordinator to support the President and serve as the company's first point of contact for routine technology needs. This is a unique hybrid position combining executive administrative support, company-wide coordination, and first-line IT troubleshooting. The ideal candidate enjoys solving problems, is comfortable with technology, follows through without repeated reminders, and is willing to handle both important projects and the small tasks that keep a business running smoothly. The purpose of this role is to remove routine administrative and technology-related work from senior leadership so the President can focus on strategy, growth, people, and moving the company forward. The Executive Assistant and IT Coordinator handles routine technology issues internally and coordinates with the company's outside managed IT provider when advanced support is required.

What You'll Be Doing:
Executive & Administrative Support Provide day-to-day administrative support to the President. Handle routine administrative tasks that do not require executive-level involvement. Prepare information, documents, and materials for meetings. Maintain organized files, lists, trackers, and follow-up items. Assist with company forms, registrations, correspondence, and miscellaneous paperwork. Coordinate small purchases, employee/customer gifts, and company-related orders. Forward job photos, documents, and other information to the appropriate employees, customers, vendors, or partners. Assist with employee and company events, special projects, and other initiatives. Help organize recurring responsibilities and ensure assigned administrative items are completed. Communicate with employees, vendors, and outside partners on behalf of the President when appropriate. Help protect the President's time by determining which routine matters can be handled without executive involvement. IT Support & Technology Coordination Serve as the first point of contact for routine employee technology issues.
Troubleshoot common problems involving:
computers and laptops monitors and docking stations printers and scanners company cell phones email internet connectivity basic software and application issues Assist employees with routine technology questions and equipment setup. Coordinate the purchase, replacement, setup, and distribution of company computers, phones, monitors, and accessories. Assist with technology-related employee onboarding and offboarding. Maintain an organized inventory of company technology and equipment. Open, coordinate, and follow up on service tickets with the company's managed IT provider. Monitor unresolved IT issues and make sure they are brought to completion. Perform basic equipment reboots, resets, and troubleshooting when appropriate. Help maintain simple technology instructions, procedures, and internal documentation. Assist with implementation of new systems, software, and technology. Identify recurring technology problems and recommend practical improvements. Know when an issue can be handled internally and when it should be escalated to outside IT professionals. Company-Wide Support Be available to office employees and managers during normal business hours for routine administrative and technology needs. Help reduce unnecessary interruptions to senior leadership. Assist departments with small projects and coordination needs when capacity allows. Help document basic procedures and SOPs. Identify recurring administrative problems and suggest ways to make processes more efficient. Support company initiatives that improve organization, communication, and employee productivity. Other duties as necessary or assigned.
What We're Looking For:
High school diploma required Education in an IT related field preferred 3+ years of progressively responsible experience in executive support, office administration, IT coordination/help desk support, or a combination of related experience. Experience setting up computers, phones, printers, monitors, and office technology. Experience working with an outside IT provider or managed service provider. Familiarity with Google Workspace or similar business productivity platforms. Familiarity with AI tools and in using technology to improve efficiency. Experience creating procedures, checklists, or SOPs Strong organizational and time-management skills. Excellent follow-through and attention to detail. Comfortable troubleshooting everyday technology issues. Strong written and verbal communication skills. Ability to prioritize multiple requests and work independently. Professional judgment and discretion when handling confidential information. Strong computer skills and willingness to learn new systems. Resourceful problem-solver who is comfortable researching solutions. Willingness to handle both large projects and small routine tasks. Ability to work effectively with employees at all levels of the organization.
