Job Description

The Executive Assistant provides comprehensive administrative and organizational support to executives and other professionals. The position is responsible for coordinating schedules, managing communications, preparing documents, arranging travel, assisting with meetings, and handling day-to-day administrative responsibilities. The Executive Assistant must demonstrate strong organizational skills, discretion, confidentiality, and the ability to manage multiple priorities effectively. Essential Duties and Responsiblities Greet visitors and direct them to the appropriate individual or location. Arrange conference calls, meetings, and other appointments. Manage multiple and complex calendars, including meetings, travel, and personal commitments as appropriate. Coordinate and make travel arrangements for in-office professionals and special visitors. Track tasks, appointments, and follow-up activities to support executive priorities. Prepare memos, reports, agendas, correspondence, and other documents as needed. Disseminate memos, reports, meeting information, and other communications to appropriate colleagues. Provide general administrative support, including filing, data entry, record maintenance, and document organization. Manage incoming and outgoing communications, including emails and telephone calls. Prioritize communications and respond or direct inquiries as appropriate. Serve as a liaison between executives and internal and external contacts. Handle sensitive and confidential information with discretion and maintain confidentiality at all times. Assist with meeting preparation and other organizational activities. Run errands and complete miscellaneous administrative tasks and special assignments as needed. Provide additional administrative and organizational support to executives and staff as required. Required Qualifications and Skills Strong organizational and time-management skills. Ability to manage multiple priorities and deadlines. Strong verbal and written communication skills. Professional and courteous interpersonal skills. Ability to handle confidential and sensitive information appropriately. Strong attention to detail and accuracy. Ability to coordinate complex schedules and travel arrangements. Proficiency with email, calendars, word processing, spreadsheets, and other standard office technology. Ability to work independently with minimal supervision. Ability to exercise sound judgment when prioritizing communications, appointments, and administrative responsibilities. Flexibility and willingness to assist with a variety of administrative tasks and special assignments.
Pay:
$40,000.00 - $50,000.00 per year
