POSITION OVERVIEW
The Executive Assistant & Liaison to the Foundation Board provides high-level administrative support to the Associate Vice President of Institutional Advancement. This Management Confidential position serves as a key liaison to Foundation stakeholders, supports the Board of Directors and committees, coordinates executive operations and special events, administers the DCC Scholarship Program, and assists with donor relations and fundraising initiatives. The incumbent exercises sound judgment, discretion, and initiative while managing multiple priorities and ensuring the efficient and effective operation of the Office of Institutional Advancement.RESPONSIBILITIES
Act as the point of contact for the AVP, and provide administrative support including meeting logistics, scheduling, managing professional interactions, communications, Board and Committee management, and coordination of travel arrangements. Manage AVP's calendar to accommodate shifting priorities; ensure all parties impacted by required changes are treated with courtesy and professionalism. Support the work of the Board of Directors, including all committees by coordinating meeting schedules, preparation of meeting materials, recording minutes and assisting with board work as required. Administer the DCC Scholarship Program, including serving as the primary liaison with donors and scholarship recipients; drafting scholarship agreements under the direction of the AVP, chairing the scholarship committee, co-managing the annual Honors Convocation in partnership with the Events Coordinator; and overseeing the development and production of the event program. Liaise with all levels of the organization including the DCCF staff and outside professional contracts. Ability to maintain good relationships with representatives from foundations, governmental agencies, Board members, staff and boards of outside organizations, etc. Ensure that workflow is handled for maximum efficiency. Be proactive in anticipating needs of the AVP. Set up cultivation events and manage invitations, RSVPs and all required logistics. Manage timelines and action steps to ensure timeliness of key projects such as fundraising appeals, newsletters, mailing lists, special events, scholarship program etc. while working with other Foundation staff to ensure that all projects completed accordingly. Assist with setting up individual donor briefings and other correspondence as needed. Write and edit letters, gift agreements, donor briefings and other correspondence as needed. Work with many areas of the College to ensure proper and accurate communications and exchange of information. QUALIFICATIONS
Ideal candidate will be a detail-oriented multi-tasker who can demonstrate the ability to function effectively in a fast-paced professional environment. Highly organized, efficient, and flexible; excellent interpersonal skills. Ability to communicate clearly verbally and in writing. Ability to maintain confidentiality and safeguard sensitive information. Proficient in Microsoft Word, Excel, and Outlook; Raiser's Edge and PowerPoint are a plus. Ability to conduct online research.EDUCATION/EXPERIENCE
Preferably 4 years as an Executive Assistant. Prior experience working for an executive in a not-for-profit or corporate setting. Experience working with a Board of Directors, setting up events and meetings (preferred). Knowledge of overall Foundation structure and work (preferred).
