Job Description:
Position Overview The Mayerson Company is looking for a proactive, exceptionally organized professional to serve as Executive Assistant to the Chief Executive Officer. This is not a traditional support role - it's a true partnership. The right candidate will function as the strategic right hand to the CEO, anticipating needs before they arise, solving problems before they escalate, and ensuring the CEO's time and energy are focused where they matter most.   • Serve as the first point of contact for the CEO internally and externally - filtering, prioritizing, and summarizing incoming requests and correspondence.
  • Draft and send communications on the CEO's behalf with clarity, confidence, and appropriate tone.
  • Set clear expectations with stakeholders regarding the CEO's availability and priorities. Calendar & Time Management
  • Own the CEO's professional and personal calendars as strategic assets.
  • Prioritize meetings based on urgency, goals, and business impact; build in preparation time, focus blocks, and buffers.
  • Anticipate conflicts and resolve them proactively; confirm agendas, attendees, and briefing materials in advance of every meeting. Meeting Management
  • Prepare agendas and briefing documents that ensure every meeting has a clear purpose and defined outcomes.
  • Review AI notetaker's notes and create and communicate action items; follow up to ensure accountability and close open loops. Special Projects & Project Management
  • Play an active role in a wide range of cross-functional special projects spanning operations, finance, business development, research, and strategic planning.
  • Support the CEO in tracking deliverables, coordinating with internal and external stakeholders, and keeping initiatives moving forward on schedule.
  • Assist with ad hoc research, entity documentation, organizational planning, and other high-priority CEO-driven initiatives as they arise. Administrative & Operational Support
  • Manage travel planning, expense reporting, and document management with accuracy and efficiency.
  • Build and maintain repeatable systems and workflows so nothing falls through the cracks.
  • Support technical onboarding and day-to-day use of platforms including Agora and MS Planner; experience with these tools is a plus. Relationship Management
  • Build trusted relationships across internal teams, clients, and external partners - serving as a connector and ambassador for the CEO's office.
  • Navigate personalities, priorities, and sensitivities with discretion, professionalism, and consistency. Confidentiality & Professionalism
  • Handle all business, personnel, and strategic information with the utmost discretion.
  • Represent the CEO's office with poise and integrity in every interaction. What Success Looks Like The best EAs don't just react - they anticipate. In this role, you'll be expected to:
  • Move from task executor to trusted advisor over time.
  • Always bring solutions, not just problems.
  • Keep a running priorities list, maintain a weekly check-in rhythm with the CEO, and proactively follow up on open items.
  • Communicate with executive-level clarity - concise, confident, and free of ambiguity. Qualifications Education & Experience
  • Bachelor's degree.
  • Minimum 3-5 years of experience as an Executive Assistant, supporting a C-suite or senior leadership executive. Skills
  • Exceptional organizational, time-management, and written and verbal communication skills, including executive-level writing.
  • Proficiency in Microsoft Office Suite and MS Planner.
  • Familiarity with investment management systems, CRM, and AI systems like ChatGPT or Claude are a plus.
  • Strong problem-solving ability and a proactive, solutions-oriented mindset.
  • Active listening skills and the ability to read between the lines - understanding what's needed, not just what's said. Attributes

Compensation & Benefits Salary:
$65,000 - $90,000 annually, depending on experience. Benefits
