Executive Assistant to the President and CFO, Board Liaison Position Purpose Reporting to the President and supporting the CFO, the Executive Assistant provides executive support and coordinates daily operations of both Offices. The Executive Assistant serves as the primary point of contact for most internal and external constituencies on most matters pertaining to the Offices of the President and CFO, valuing and practicing confidentiality in all sensitive matters. The Executive Assistant also works closely with the Chief of Staff, ad the Chairman of the Board of Trustees. Key Accountabilities Executive Support for the President Completes a broad variety of administrative tasks for the President's Office including: managing an extremely active calendar of appointments; submitting expense reports and PCard allocations; maintaining office records; issuing purchase orders; processing and reviewing all mail and email; scheduling complex and detailed travel plans, itineraries, and agendas; arranging meetings, receptions, dinners, and conference and travel arrangements to ensure professionalism and efficiency in all office operations. Works closely and effectively with the President to keep him/her well informed of upcoming commitments and responsibilities. Tracks all of the President's operating and discretionary budgets. Utilizes current desktop and mobile technology to maintain easily accessible electronic records, calendars, and notes. Plans, coordinates and ensures that the President's schedule is followed. Provides âEURoegatekeeperâEUR? and âEURoegatewayâEUR? role, creating win-win situations for direct access to the President's time and office. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive and confidential nature. Determines appropriate course of action, referral, or response. Provides a bridge for smooth communication between the President's Office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff. Prioritizes conflicting needs; handles tasks and projects expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures. Maintains complete confidentiality on all sensitive issues. Staffs the College Executive Steering Committee, assisting the President in preparing for each meeting, drafting meeting agendas, and creating meeting notes. Maintains records of and annually (or as needed) updates the College's organizational charts. Works with the Director of Presidential Operations and Communications to assist the President in coordinating meetings of the College Assembly and Town Halls; distributes notice of these meetings and meeting materials to the faculty and staff. Other duties as assigned. Executive Support for the CFO Responsible for a broad variety of administrative tasks for the CFO's Office including coordinating meetings when requested; completing expense reports and PCard reconciliations; maintaining office files and records; ordering and managing office supplies; issuing purchase orders; processing mail; preparing correspondence that is sometimes confidential; scheduling travel plans, itineraries, and agendas. Serves in a âEURoegatekeeperâEUR? role, where appropriate. When directed, communicates on behalf of the CFO, with board members, CFO staff and others, on matters related to the CFO's responsibilities. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CFO, including those of a sensitive and confidential nature. Determines appropriate course of action, referral, or response. Undertakes special projects as requested by the CFO. Serves as the CFO's administrative liaison to the various Board of Trustees' committees. Serves as the recording secretary for the CFO's Board of Trustees committee meetings; completes and assembles committee meeting materials, minutes, and agendas. Gathers information and completes applications annually for insurance renewal. Notifies insurance agency of any claim and monitor until closure. Other duties as assigned. Executive Support for the
Board:
Assists the Chair of the Board and President in the effective planning, organization, and conduct of Board meetings, including all committee meetings and options to join student classes, etc. Oversees logistical planning for all Board meetings and retreats. Ensures accurate records are kept of all Board deliberations and decisions. Set dates for meetings of the Board of Trustees (typically three years in advance) in consultation with the President and the Chair of the Board. Compiles the Cabinet's Report to the Board of Trustees, setting deadlines for completion. Prepares full Board of Trustee meeting minutes. Maintains records of assignment by committee and by trustee. Coordinates all social functions of the Board except Garfield Society. Assists with trustee inquiries and new trustee orientations. Maintains master database of all Board members. Attends all regular scheduled meetings and committee meetings as appropriate. Organizing meetings, securing locations, and coordinating any logistics including catering, AV, and conference calls. Update and keep current Policies and Bylaws for the Board of Trustees. Manage access and use of Board of Trustee Portal. Manage annual conflict of interest policy and process. Manage the Board of Trustee budget. Other duties as assigned by the President and Chair of the Board. Qualifications Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail. Very strong interpersonal skills and the ability to build relationships with the board members, faculty, staff, students, and donors. Strong written and communication skills. Ability to exercise good judgment in a variety of situations and demonstrated proactive approaches to problem-solving with strong decision-making capability. Ability to de-escalate problems and maintain the confidence of the President and CFO Offices. Team player with the ability to work independently when necessary. Proven ability to handle confidential information with discretion. Ability to maintain a realistic balance among multiple priorities and to meet demands and deadlines in a fast-paced environment. Skills & Knowledge Strong oral and written communication skills and professional attitude. Excellent customer service skills; demonstrated experience working in a team-oriented environment that deals with highly sensitive issues. Self-motivated with the ability to work independently. Ability to manage multiple tasks, prioritize among assignments, meet deadlines, and follow up. Resourceful, flexible, and good at problem-solving. Experience Minimum of 8 years progressive administrative support experience, preferably supporting an executive. Excellent computer skills, including Microsoft Office suite. Education High school diploma or equivalent required. Bachelor's degree preferred.
