About Us We are a growing, client-focused Registered Investment Advisor (RIA) dedicated to providing personalized wealth management and financial planning services. We are seeking an organized, proactive, and detail-oriented Executive Assistant with a strong financial background to provide high-level administrative support to our executive team. The ideal candidate thrives in a fast-paced environment, enjoys managing multiple priorities, and understands the unique needs of a financial advisory practice. Position Summary The Executive Assistant will serve as a trusted partner to senior leadership by managing schedules, coordinating client communications, supporting business operations, and ensuring the efficient day-to-day functioning of the office. Experience in financial services, wealth management, banking, or investment advisory is highly preferred. Key Responsibilities
  • Provide executive-level administrative support, including calendar management, meeting coordination, and travel arrangements.
  • Prepare reports, presentations, meeting agendas, and correspondence.
  • Coordinate client meetings and ensure a high-quality client experience before, during, and after appointments.
  • Maintain accurate client records and documentation in accordance with regulatory and firm compliance standards.
  • Assist with account paperwork, onboarding, and follow-up communications.
  • Serve as a liaison between executives, clients, custodians, and other business partners.
  • Monitor deadlines, prioritize competing tasks, and proactively identify scheduling conflicts.
  • Support office operations, vendor relationships, and special projects.
  • Handle confidential financial and personal information with discretion and professionalism. Qualifications
  • Bachelor's degree preferred or equivalent professional experience.
  • Minimum of 3-5 years of executive assistant or senior administrative experience.
  • Experience in a Registered Investment Advisor (RIA), financial planning firm, wealth management office, banking, or financial services environment strongly preferred.
  • Working knowledge of investment accounts, financial terminology, and client service processes.
  • Excellent organizational, time management, and multitasking abilities.
  • Exceptional written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.
  • Proficiency with Microsoft Office Suite and CRM systems such as Redtail, Wealthbox, Salesforce, or similar platforms.
  • Ability to work independently while supporting a collaborative team environment. Preferred Qualifications
  • Experience supporting financial advisors or C-level executives.
  • Familiarity with custodial platforms such as Charles Schwab, Fidelity, or Pershing.
  • Experience with financial planning or portfolio management software.
  • Notary Public certification is a plus.
