Full-Time /On-Site Job Summary:
We are seeking an experienced, proactive, and highly organized Executive Assistant to support one of our top financial advisors.This is a dual-focus role:
roughly half the work supports the advisor's financial advisory practice and half supports his litigation consulting practice (including structured settlements, court accounting, and related documentation). The ideal candidate is self-motivated, detail-oriented, able to multitask efficiently, and takes initiative. Experience in financial services and/or a legal background is strongly preferred.Key Responsibilities:
Serve as the primary point of contact for client inquiries and manage communication between clients and the advisor. Schedule and coordinate client meetings, including preparation of materials and timely follow-up. Prepare financial documents, reports, and presentations. Maintain and organize client files and the RedTail CRM. Process new account applications, transfers, and other client paperwork accurately and promptly. Track and follow up on client requests to ensure timely resolution. Monitor compliance requirements and ensure files and interactions meet regulatory standards. Support the litigation consulting practice, including structured settlements and related documentation. Assist with court accounting for guardianship and special needs trusts. Handle general administrative tasks (phones, email, office organization). Assist with marketing and client communication materials as needed. Perform other duties as assigned. Consistent and punctual attendance is required.Qualifications:
Associate or bachelor's degree and/or professional designation/certification strongly preferred. FINRA registrations (Series 6, 7, or 63) preferred but not required to start. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfort with CRM/financial software. Strong organizational skills and attention to detail with the ability to manage multiple priorities. Excellent written and verbal communication skills. Ability to work independently and take initiative. Familiarity with court accounting for guardianships and special needs trusts preferred. Legal administrative or paralegal experience is a strong plus.Additional Attributes:
