Executive Team Administrative Assistant - Toledo OH We're seeking a highly organized, proactive Executive Team Administrative Assistant to support our senior executive team in a fast‑paced, in‑office environment. The Executive Team Administrative Assistant provides high‑level administrative support and serves as a trusted partner in managing day‑to‑day operations, communications, and strategic priorities. This role requires exceptional organizational skills, sound judgment, and the ability to handle sensitive and confidential information with the highest level of discretion. The ideal candidate thrives in a fast‑paced environment, anticipates needs, and ensures the executive level administrative function operates with efficiency and professionalism. Responsibilities Manage and optimize the senior executive team's daily schedule, including meetings, appointments, and internal/external engagements Prepare, edit, and organize executive‑level correspondence, presentations, reports, and briefing materials Support cross-departmental coordination and assist with special projects as assigned by the CEO, President and COO Prepare detailed travel itineraries, ensuring smooth transitions and contingency planning Serve as a key liaison with internal and external stakeholders Coordinate meeting logistics, agendas, minutes, and follow‑up actions Maintain organized systems for documentation and follow‑ups Prioritize incoming communications, ensuring timely and appropriate responses Handle sensitive information with absolute discretion Qualifications 5 plus years supporting senior executives, C-Suite support strongly preferred Exceptional organization, time-management, and multitasking abilities Strong communication, organization, and multitasking skills Proficiency with Microsoft Office and modern productivity tools Ability to work on-site full-time and adapt to shifting priorities High level of integrity, discretion, professionalism and reliability Ability to handle sensitive company information, personnel matters, and strategic initiatives with absolute confidentiality Proactive problem-solver who anticipates needs before they arise Calm under pressure and comfortable managing competing priorities Professional presence and strong interpersonal skills Detailed-oriented with a commitment to accuracy and follow-through What We Offer Competitive pay Comprehensive health, dental, and vision coverage Life insurance 401(k) with company a match Generous paid time off, including vacation and personal days
