Job Description

A-Z Enterprises is a fast-moving, multi-vertical operation based in Wapakoneta, Ohio. We run a commercial office building, mobile home parks across three states, an event center, a spa, a fitness facility, a coworking space, and multiple active development projects. The owner is on-site, not behind a desk. That means this role carries real weight. We are hiring a full-time, in-person Executive Assistant who can absorb workload, lead the team when the owner is in the field, and grow into a true right-hand operator. This is not a scheduling and filing job. This is a high-accountability, high-autonomy role for someone who wants to be part of building something real. Duties Manage the owner's task list, calendar, follow-ups, and daily priorities Filter all incoming communications: texts, calls, emails, team messages Run daily team check-ins and track status across all active projects and locations Draft communications, notices, proposals, and internal documents ready to send Coordinate with on-site contractors, park managers, and remote team members Maintain project trackers, spreadsheets, and operating logs in real time Attend meetings, take detailed notes, and convert them to action items with owners and deadlines Travel to project sites in Kentucky and eastern Ohio. Identify gaps, bottlenecks, and dropped tasks before the owner has to ask Be the point of contact for the team when the owner is unavailable Qualifications Proven experience in an executive assistant, operations, or office management role Highly organized with a strong bias toward action and follow-through Comfortable managing multiple priorities across different business types simultaneously Strong written communication: you can draft a professional message or a firm contractor notice without being handed a template Proficient in Google Workspace, spreadsheets, and task management tools Comfortable learning new software quickly (we use GHL, Monday.com, and Lovable) Able to travel occasionally as projects require Discretion and confidentiality are non-negotiable You do not need to be told something twice What This Is Not This is not a remote position This is not a low-responsibility administrative role This is not a job where you wait to be told what to do
