Job Description

Job Summary We are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will provide comprehensive administrative support to senior leadership, ensuring smooth daily operations and efficient management of their schedules. Your proactive approach, exceptional organizational skills, and positive attitude will help foster a productive work environment. Responsibilities Manage complex calendars, coordinate meetings, and schedule appointments with precision and attention to detail. Prepare, proofread, and organize correspondence, reports, presentations, and other documents to ensure clarity and professionalism. Handle incoming calls using multi-line phone systems with excellent phone etiquette; direct inquiries appropriately. Assist with travel arrangements, including booking flights, accommodations, and preparing itineraries for executives. Maintain organized filing systems both digitally (using Google Workspace and Microsoft Office tools) and physically for quick retrieval of information. Support data entry, bookkeeping tasks using QuickBooks, and basic office management duties such as supply inventory and equipment maintenance. Provide exceptional customer service by supporting internal teams and external clients with professionalism and responsiveness. Manage personal assistant duties as needed, including calendar management and task prioritization to optimize executive productivity. Requirements Proven experience as an Executive Assistant or in a similar administrative role with office management responsibilities. Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Bilingual abilities are highly preferred to communicate with diverse stakeholders effectively. Experience with multi-line phone systems, clerical tasks such as filing and proofreading, and customer support functions. Knowledge of QuickBooks for bookkeeping tasks is a plus; familiarity with medical or dental receptionist duties is advantageous. Demonstrated time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail. Strong interpersonal skills including professional phone etiquette and customer service orientation. Previous office experience involving administrative support, calendar management, or personal assistant roles is required.
