Job Description

To Apply for this Job Click Here Our client, a private family office, is seeking to hire a Temp-to-Perm Executive Personal Assistant to support a Director of Properties within a highly sophisticated family office environment based in Woodmere, New York. The role is based 5 days/week in-office but supports operations across multiple personal residences, estates, and assets. The Director of Properties oversees an expansive portfolio including multiple residences, watercraft, vehicles, aircraft, and domestic staff. This individual has a background in architecture, interior design, and construction, and is seeking a highly organized, professional Executive/Personal Assistant with an eye for design and strong operational instincts. This position will take full ownership of administrative and coordination responsibilities, acting as a true right-hand support.
Key Responsibilities:
Complex calendar management and scheduling across both business and personal commitments Drafting and compiling proposals for principal approvals Coordinating appointments, meetings, and travel logistics Acting as liaison with a wide range of vendors, including household vendors, property vendors, and those supporting boats, aircraft, and vehicles Managing ongoing communication and coordination with domestic staff and external partners Supporting large-scale property and construction-related projects, requiring logistics coordination for transporting materials from the mainland U.S. to USVI Assisting with planning and execution of events at various properties for both hospitality and corporate purposes Supporting overall operational flow of multiple properties, ensuring seamless execution across all touchpoints
Additional Details:
Standard hours Monday-Friday, with occasional overtime Travel required (~3 weeks/year), including international travel Opportunity to visit properties to gain hands-on exposure The ideal candidate is highly organized, proactive, resourceful, and thrives in a high-expectation, fast-paced environment.
