Full Job Description Overview:
Good Shepherd Hospice is seeking a highly organized, proactive, and professional Executive Assistant to provide administrative support to corporate leadership, including Sales and Marketing executives. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, excels at managing multiple priorities, and maintains the highest level of confidentiality and professionalism. The Executive Assistant will play a key role in supporting leadership operations, coordinating corporate events, managing calendars and reporting, and ensuring the efficient execution of administrative functions that contribute to organizational success.
Responsibilities:
Provide executive-level administrative support to corporate leadership, including Sales and Marketing leaders. Coordinate and execute corporate meetings, trainings, and special events, including National Sales Meetings and New Hire Training programs. Manage all event logistics, including travel arrangements, accommodations, meals, meeting materials, presentations, and schedules. Prepare and distribute weekly, monthly, and quarterly Sales and Marketing reports. Maintain executive PTO calendars and assist with leave processing. Process time and attendance records for corporate leadership. Support expense management and reimbursement processes. Assist with the preparation and formatting of PowerPoint presentations and other executive materials. Identify opportunities for process improvements and recommend enhancements to workflows, procedures, and operational efficiencies. Order and maintain office supplies for corporate staff. Receive and distribute incoming correspondence and deliveries. Answer, screen, and route incoming calls while providing exceptional customer service. Maintain strict confidentiality regarding employee information and protected health information (PHI). Perform additional duties and special projects as assigned.
Qualifications:
Required 3-5 years of executive or administrative support experience in a C-suite or senior leadership environment. Strong organizational, multitasking, and prioritization skills. Excellent verbal and written communication abilities. Advanced proficiency in Microsoft 365, particularly Outlook, Excel, and PowerPoint. Ability to handle confidential information with discretion and professionalism. Preferred Education in Business Administration, Healthcare Administration, or a related field. Experience supporting Sales, Marketing, or healthcare leadership teams. What Makes You Successful Exceptional attention to detail and follow-through. Primarily indoor office environment with occasional travel or event-related responsibilities.
