Job Description
This role provides executive support in a one-on-one working relationship with the President. The Executive Assistant to the President serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President. This role also serves as a liaison to the TCR senior leadership team, department managers, and employees. This position organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
Summary:
Supports a highly involved, fast‑moving executive who communicates frequently, expects rapid follow‑through, and values proactive prioritization and clear pushback when needed.Responsibilities:
- Completes a broad variety of administrative tasks for the President including managing an extremely active and dynamic calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
- Communicates directly, and on behalf of the President, with the leadership team members, employees and others, on matters related to President's initiatives
- Researches, prioritizes, and follows up on incoming issues and concerns and addressed to the President, including those of a sensitive or confidential nature.
- Determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the Executive office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior leadership team members.
- Update and chase delegated tasks to ensure progress to deadlines
- Successfully completes critical aspects of deliverables with a hands-on approach, including personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
- Prioritizes conflicting needs; handles business matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
- Assists in scheduling executive team meetings and attends meetings, as necessary
- Coordinates the agenda of executive team meetings and off-sites and all company meetings
- Maintains discretion and confidentiality
- Abide by the policies and procedures of the company
- Working knowledge of Department of Transportation (DOT) regulations, including documentation, reporting, and compliance support
- Familiarity with dispatch operations, scheduling, and coordination in a fast-paced, time-sensitive environment
- General understanding of OSHA laws and workplace safety requirements
Requirements & Skills:
- Bachelor's degree is preferred
- Must have at least 3-5 years of experience supporting upper-level executives
- Ideal candidate has a strong sense of professional judgment
- Must be able to effectively communicate in both internal and external relationships for all essential job functions
- Adhere to the company's compliance programs
- Safeguard the company's intellectual property, information, and assets.
- Contract management - some legal knowledge is preferred,
- Must have ability to work the time necessary to support the CEOs demanding schedule and complete projects and/or meet deadlines.
- Must have strong organizational skills and the ability to prioritize multiple competing tasks seamlessly and with excellent attention to detail.
- Must have a proven ability to maintain confidentiality and manage sensitive data and information. Must have excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, customers, and external partners.
- Must be able to achieve high performance goals and meet deadlines in a fast-paced highly dynamic environment.
- Must have demonstrated proactive approach to problem-solving with strong decision-making skills
- Must be able to adapt quickly and comfortably to shifts in priorities while maintaining the highest levels of customer service and responsiveness

- Must be extremely proficient in Microsoft Outlook, Word, Excel, PowerPoint and Sage.
- Must be proficient in Adobe Acrobat and social media platforms
- Ability to prioritize and re‑prioritize multiple times per day
- Ability to separate tone from intent
