About the Opportunity CV Resources is partnering with a well-established financial institution seeking an Executive Assistant & holder Services Representative to join its corporate headquarters team. This highly visible position serves as a key liaison between executive leadership, the Board of Directors, shareholders, and internal stakeholders. The ideal candidate is polished, detail-oriented, professional, and thrives in an environment requiring confidentiality, organization, and exceptional communication skills. This role offers a unique blend of executive support, shareholder relations, accounting support, and corporate administration. Key Responsibilities Executive & Board Support Prepare monthly Board and Committee meeting materials and presentation packages. Attend Board and Committee meetings and accurately record meeting minutes. Maintain official corporate records and documentation. Coordinate executive travel, conference registrations, and special events. Support executive leadership with administrative and organizational initiatives. Exercise sound judgment and maintain strict confidentiality at all times. holder Services Serve as a primary point of contact for shareholder inquiries. Facilitate shareholder stock transactions and related documentation. Maintain shareholder records and databases. Ensure compliance with document retention and audit requirements. Coordinate annual shareholder meetings and communications. Assist with dividend distributions and shareholder reporting activities. Accounting & Operational Support Perform daily cash balancing and reconciliation processes. Investigate and resolve discrepancies while collaborating with internal departments. Assist with monthly general ledger reconciliations. Support accounting activities in accordance with GAAP and regulatory requirements. Partner with accounting leadership to maintain accurate financial records. Qualifications Required Exceptional written and verbal communication skills. Strong organizational and multitasking abilities. Professional executive presence and polished demeanor. High level of discretion and ability to handle confidential information. Intermediate Excel skills. Strong attention to detail and accuracy. Ability to build relationships across all levels of an organization. Self-motivated with the ability to manage multiple priorities independently. Preferred Experience within banking, financial services, or a regulated industry. Accounting, finance, business, communications, or English degree. Previous executive assistant, corporate administration, shareholder services, or accounting support experience.
