Mondays, Wednesdays and Fridays - 9:00am to 3pm Position Summary Essence Health Services, LLC is seeking a highly organized, proactive, and personable Executive Assistant to provide direct administrative and operational support to the President & CEO. This role is ideal for someone with experience in the human services field who enjoys building relationships, solving problems, and contributing to the growth of a mission-driven organization. The Executive Assistant will play a key role in supporting executive operations, coordinating projects, communicating with stakeholders, and assisting with agency compliance. The successful candidate must be eager to learn Pennsylvania's Office of Developmental Programs (ODP) , Office of Vocational Rehabilitation (OVR) , and Managed Care Organization (MCO) systems and processes. Essential ResponsibilitiesExecutive Support Manage the President & CEO's calendar, appointments, meetings, and travel arrangements. Prepare correspondence, reports, presentations, meeting agendas, and other business documents. Screen and prioritize phone calls, emails, and other communications. Maintain confidential records and information with the highest level of professionalism. Administrative & Operational Support Assist with provider enrollment, licensing, credentialing, and contract management. Prepare and organize documentation for audits, inspections, and regulatory reviews. Track deadlines, projects, and follow-up items to ensure timely completion. Maintain electronic and paper filing systems. Coordinate internal meetings and take meeting minutes when needed. Human Services Support Serve as a liaison with Support Coordinators, Administrative Entities (AEs), OVR counselors, Managed Care Organizations (MCOs), referral sources, families, and community partners. Assist with referral tracking and service coordination. Support the agency's quality improvement and compliance initiatives. Learn and navigate ODP, OVR, PROMISe™, HCSIS, and MCO systems as needed. Assist with preparing reports, invoices, and other documentation required by funding sources. Marketing & Community Relations Help coordinate networking events, community outreach, and marketing initiatives. Maintain positive relationships with referral partners and stakeholders. Represent the agency professionally during meetings and community events when appropriate. QualificationsRequired Associate's or Bachelor's degree in Human Services, Social Work, Healthcare Administration, Business Administration, or a related field (or equivalent experience). Minimum of 2 years of experience working in human services, healthcare, behavioral health, developmental disabilities, home care, or a related field. Excellent verbal and written communication skills. Strong organizational, time management, and multitasking abilities. Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint). Ability to handle confidential information with discretion. Preferred Experience working with ODP, OVR, OLTL, Medicaid, or Managed Care Organizations. Knowledge of HCSIS, PROMISe™, EVV, or other human services systems. Experience supporting executive leadership or senior management.
