About the Role M-F ; 40 Hours Early Start Times (7AM) Some flex hours in afternoon available. We are a growing design-build firm looking for a highly organized, creative, and proactive Design & Executive Assistant to support both our design work and day-to-day business operations. This is a unique hybrid role for someone who enjoys wearing multiple hats. One day you may be helping put together a client presentation, organizing selections, or creating design materials; the next, you may be coordinating schedules, managing correspondence, preparing documents, or helping keep projects and the leadership team organized. The ideal candidate is detail-oriented, visually minded, comfortable working independently, and excited to be part of a small, fast-moving design-build environment.
What You'll Do:
Design & Project Support Assist with preparing client presentations, mood boards, finish selections, and other design materials Help organize and maintain samples, product information, and design resources Research furniture, fixtures, finishes, materials, and other products Create and update presentations, documents, schedules, and spreadsheets Assist with project documentation and organization Help coordinate communication between designers, clients, vendors, contractors, and other project partners Support the design team with general administrative and organizational tasks Executive & Administrative Support Manage calendars, appointments, meetings, and scheduling Organize emails, files, documents, and other information Prepare meeting agendas, notes, and follow-up items Assist with client and vendor communications Coordinate meetings, deliveries, appointments, and other logistics Help track deadlines, tasks, and action items Handle occasional personal or business-related administrative tasks for company leadership Help identify what needs to be done and take initiative rather than waiting to be asked What We're Looking For Strong organizational and time-management skills Excellent attention to detail Professional written and verbal communication Strong visual/design sense and an interest in interiors, architecture, construction, or design Comfortable with Microsoft Office and/or Google Workspace Ability to learn new software and systems quickly Comfortable managing multiple priorities and shifting between tasks Resourceful, dependable, and proactive Ability to maintain confidentiality and professionalism A positive, team-oriented attitude Bonus Skills Experience with any of the following is a plus: Interior design or architecture Residential construction or remodeling Project coordination Canva, Adobe Creative Suite, or similar design software SketchUp, AutoCAD, or other design software QuickBooks or other business/accounting software Social media or marketing Vendor/product research Client relationship management The Right Person for This Role We're looking for someone who is both creative and exceptionally organized . You don't necessarily need to be a trained interior designer or a traditional executive assistant. More important is that you're someone who can look at a task, figure out what needs to happen, and make it happen.
