Executive Assistant London Approach - 4.5 Philadelphia, PA Job Details Contract 12 hours ago Qualifications Executive administrative support Full Job Description Executive Assistant Philadelphia, PA Temp to Hire 100% Onsite Mission-driven nonprofit organization in Philadelphia is seeking an Executive Assistant to support senior leadership within Finance and IT operations. This role will provide high-level administrative and operational support in a fast-paced environment supporting multiple executives and cross-functional initiatives.
Responsibilities:
Manage complex calendars, scheduling, meeting coordination, and conference room management for executive leadership Coordinate meetings, events, travel arrangements, and executive correspondence Prepare reports, presentations, spreadsheets, and other documentation utilizing Microsoft Office and SharePoint Reconcile and process monthly corporate credit card expenses and expense reporting Support incoming calls, visitors, mail distribution, and general office operations for executive suite Maintain confidential information and support sensitive executive-level communications Coordinate office supply management, vendor communication, and building maintenance requests Assist with strategic projects, reporting initiatives, and operational support activities Serve as liaison between departments, employees, vendors, and external contacts Support accounting-related administrative functions including deposits, records, and documentation tracking
Qualifications:
3+ years of Executive Assistant or high-level administrative support experience required Prior experience supporting senior leadership/executive teams within fast-paced environments strongly preferred Strong Microsoft Office skills including Outlook, Excel, Word, PowerPoint, and SharePoint Experience with calendar management, expense reconciliations, reporting, and executive correspondence Strong communication, organizational, and multitasking abilities Ability to handle confidential and sensitive information with professionalism and discretion Comfortable managing multiple priorities and shifting responsibilities throughout the day Strong attention to detail and ability to work independently
