This role is ideal for someone who loves creating order, keeping projects moving, and helping leaders stay focused on what matters most. You will help manage priorities, track key initiatives, follow up on commitments, and ensure important work gets completed. The right person is highly organized, proactive, and confident in communicating with leaders across the company. You are not simply managing a calendar—you are helping drive execution and accountability. Dolphin Tavern is a legendary South Philadelphia dance club blending retro character with late-night energy. Liberty Garden is a seasonal beer garden located within Independence National Historical Park, celebrating local food, drinks, and Philadelphia history. Walnut Garden is a spacious urban beer garden in the heart of Rittenhouse Square offering cocktails, food, games, and outdoor gathering space. Parks on Tap is Philadelphia's traveling beer garden, bringing food, drinks, and community gatherings to parks throughout the city.\ What You'll Do Project & Accountability Management Track projects, priorities, and deadlines across multiple departments Follow up with leaders and team members to ensure commitments are completed Maintain clear action-item lists and project timelines Identify bottlenecks, delays, and issues before they become bigger problems Keep important initiatives moving forward Executive Support Manage calendars, scheduling, travel, and logistics Prepare agendas and materials for meetings Take meeting notes and document decisions Organize and prioritize incoming requests and communications Draft emails, reports, and correspondence on behalf of leadership Meeting & Communication Management Help keep meetings focused, productive, and action-oriented Ensure every meeting ends with clear next steps and ownership Distribute meeting summaries and follow up on deliverables Serve as a communication bridge between leadership and department heads Goal & Priority Management Help leadership define and track quarterly goals and priorities Ensure teams stay focused on agreed-upon objectives Assist with go/no-go decisions by gathering information and organizing options Create systems that help prevent important tasks from falling through the cracks Organization & Operations Maintain organized records, contracts, documents, and project files Coordinate with vendors, partners, and consultants when needed Assist with research, planning, and special projects Utilize AI tools such as ChatGPT to improve efficiency and organization Who We're Looking For You are the person people rely on when things get complicated. You naturally organize people, projects, and information. You are comfortable following up with senior leaders, asking questions, and making sure commitments are honored. You have strong judgment, excellent communication skills, and the ability to manage multiple priorities without losing sight of what matters most. Ideal Backgrounds We are especially interested in candidates who have worked as: Executive Assistants Project Coordinators Paralegals Teachers or School Administrators Social Workers Operations Coordinators Office Managers Program Managers Hospitality experience is helpful but not required.
