Monday - Friday | 8:00 AM - 4:00 PM EST Work mode: Hybrid (4 days onsite) Position Summary We are seeking an experienced Executive Administrative Assistant III to provide high-level administrative support to a senior business leader within a global commercial trucking organization. This is a high-visibility, fast-paced role requiring exceptional organizational skills, discretion, and the ability to manage multiple priorities independently. The successful candidate will serve as the operational backbone of the office, ensuring seamless calendar management, travel coordination, expense reporting, meeting logistics, and executive communications. This position also offers direct exposure to global business operations, including collaboration with international teams and a joint venture partnership with Bosch. Key Responsibilities Executive & Administrative Support Provide comprehensive administrative support to a senior business unit leader and their team. Manage complex executive calendars, scheduling meetings across multiple time zones and international locations. Coordinate meetings by preparing agendas, organizing conference rooms, arranging virtual meeting logistics, and ensuring all AV equipment functions properly. Serve as the primary point of contact for internal and external stakeholders while maintaining a professional office presence. Prepare correspondence, reports, presentations, memos, letters, and other business documents. Read, prioritize, and distribute incoming communications, reports, and other documentation. Travel & Expense Management Coordinate domestic and international travel arrangements, including flights, hotels, rental cars, and itineraries. Ensure travel details and schedules are accurately reflected in executive calendars. Process and reconcile expense reports for up to 10 team members using Concur. Office Operations Order office supplies and coordinate catering, beverages, and meeting materials. Maintain filing systems, records management, and confidential documentation. Support purchase order processing and related activities within the ERP system. Perform general administrative and clerical duties to ensure smooth day-to-day office operations. Required Qualifications High school diploma or GED required. 5-7 years of administrative or executive assistant experience. Experience supporting senior leaders or executives is highly preferred. Strong experience managing complex calendars, including coordination across multiple time zones. Experience booking travel and processing expense reports using Concur. Proficiency in Microsoft 365 applications, including Outlook, Word, Excel, and PowerPoint. Excellent written, verbal, and interpersonal communication skills. Strong organizational and time-management skills with the ability to prioritize multiple tasks independently. Demonstrated ability to maintain confidentiality and exercise sound judgment in handling sensitive information. Professional, personable, and comfortable serving as the face of the office. Preferred Qualifications Experience supporting global teams or international business operations. Familiarity with purchase order processing and ERP systems. Experience working in a fast-paced, high-visibility corporate environment. Basic mentoring or coaching experience is a plus. Why Join This Opportunity?
