The Opportunity As Executive Assistant, you will play a central role in enabling strategic focus by ensuring priorities are organized, communication flows effectively, and operations run seamlessly. Acting as a proactive coordinator and key point of contact, you will help drive alignment, informed decision-making, and a highly efficient leadership environment while anticipating needs and staying one step ahead of a fast-paced business agenda.
Key responsibilities include:
Proactively manage and prioritize the Managing Director's calendar, inbox, and commitments, ensuring alignment with business priorities and timely escalation of critical matters Provide seamless executive support across meetings, travel, expenses, and daily administration, anticipating needs and resolving conflicts Own and coordinate key meeting schedules, ensuring clear purpose, defined outcomes, and appropriate stakeholders are engaged Prepare agendas, briefing materials, and presentations; capture actions and decisions, and track follow-through to ensure accountability and delivery Maintain forward planning and streamline coordination to reduce administrative burden and enhance operational efficiency Act as a trusted point of contact for internal and external stakeholders, building strong working relationships across the business Partner closely with the wider executive support team and collaborate with the Property & Facilities Manager to ensure smooth office operations Support the Managing Director and North America Leadership Team with administrative and operational requests Manage travel, expenses, approvals, and logistics efficiently, including support for internal meetings, visits, and leadership activities Monitor travel and entertainment spend, ensuring accuracy, compliance, and cost-effective use of budgets Draft and coordinate clear, professional communications on behalf of the Managing Director Plan and deliver high-quality business meetings, events, and leadership forums (e.g., Town Halls) Integrate AI solutions to automate routine administrative tasks and enhance communication efficiency Manage sensitive information with the highest level of discretion and integrity Exercise sound judgement in prioritization, decision-making, and escalation, proactively resolving issues to ensure smooth day-to-day operations We value our people's wellbeing and understand the importance of flexibility.
