Position is part time to start with the expectation of developing into more We seek a person on site but with experience some remote work is possible Duties Manage complex calendars, schedule meetings, and coordinate appointments for executive staff with precision and efficiency Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing excellent customer support Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks Serve as the front desk receptionist, greeting visitors warmly and directing them appropriately while maintaining a professional office environment Assist with bookkeeping tasks, including invoicing and expense tracking, utilizing QuickBooks or similar accounting software Support office management activities such as supply ordering, filing, proofreading documents, and managing office supplies inventory Provide personal assistant support to executives by managing travel arrangements, calendar management, and task prioritization Deliver exceptional customer service by responding promptly to inquiries via phone or email and supporting client or patient needs in medical or dental settings if applicable Experience Proven experience as an executive assistant or in a similar administrative role within an office environment Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools Demonstrated ability to manage multiple priorities efficiently with excellent time management skills Previous experience with office management tasks such as filing, proofreading, and clerical duties Bilingual capabilities are highly desirable to serve diverse client bases effectively Familiarity with multi-line phone systems, front desk operations, and customer service best practices Experience working in medical or dental reception is a plus but not required; relevant personal assistant experience is valued highly Join us to become an integral part of a vibrant team where your organizational prowess and dedication will make a meaningful impact.
