Part-time Job Title:
Administrative Assistant Position Summary:
The Executive Assistant to the Board provides high-level administrative and financial support to ensure the efficient operation of the practice. This role requires strong organizational skills, attention to detail, and proficiency in financial processes, including accounting and reconciliation tasks. The ideal candidate is dependable, proactive, and experienced in using QuickBooks.
Key Responsibilities:
Perform daily bank account reviews to monitor transactions and ensure accuracy Manage accounts payable, including processing invoices and vendor payments Prepare and issue invoices in a timely and accurate manner Complete monthly bank reconciliations Maintain accurate financial records using QuickBooks Assist with payroll reconciliations to ensure accuracy and compliance Support benefits reconciliation, including tracking and verifying employee benefits data Assist the Medical Administrator with annual business and policy renewals Maintain organized financial and administrative records Attend board meetings and take detailed notes for submission to the Executive Board upon approval Provide general administrative support and complete additional tasks as assigned
Qualifications:
Proven experience in an administrative or accounting support role, preferably in a healthcare setting Proficiency in QuickBooks (required) Strong understanding of basic accounting principles and financial reconciliation processes Excellent organizational skills and attention to detail Ability to manage multiple tasks and meet deadlines Strong written and verbal communication skills High level of discretion and ability to handle confidential information
Preferred Qualifications:
Experience working in a medical or healthcare office Familiarity with payroll systems and employee benefits administration
Work Environment:
Office-based position within a medical practice Collaborative work environment supporting administrative and clinical operations
