Job Description We are seeking a highly experienced Executive Assistantto provide proactive and strategic administrative support to Vice Presidents (VPs) of Corporate IT. This role requires exceptional organizational and communication skills, strong judgment, and the ability to operate effectively in a fast-paced, dynamic, and confidential environment. As a trusted partner to the VP's and the Corporate IT leadership team, you will manage day-to-day operations, coordinate across multiple stakeholders, and anticipate needs to ensure the organization runs smoothly. What you'll do:
Calendar Management:
Provide strategic calendar and time management support with strict integrity and confidentiality.
Manage and own calendar, meeting preparation, and logistics based on knowledge of leader and business needs.
Use executive judgment to execute decisions around prioritization
Travel Management:
Coordinate domestic and international travel, creating detailed itineraries to maximize productivity and ensure compliance with travel policies.
Act as a trusted liaison, problem solver, and facilitator for the leaders and the Corporate IT organization
Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contacts
As needed, provide support for site management and other senior leadership, including space management, employee onboarding, and onsite activities.
Perform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution lists
Help plan onsite and offsite team meetings and events, including coordinating conference room set-up, catering, A/V, and other logistical arrangements
Coordinate onboarding of new employees and contractors, and associated tracking
Assist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activities
Provide support for miscellaneous projects and initiatives
Create purchase requisitions and assist staff with expense reporting and Finance issues
Manage and maintain budget and expense reports This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications Basic Qualifications:
Minimum of 6 months of work experience or a
Bachelor's Degree Preferred Qualifications:
2 or more years of work experience
3-5 years of executive administrative experience, with some event planning and/or project coordination experience
Customer service-focused, with a professional presence and a confident and approachable personality
Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information
Strong communication skills (both written and verbal), and ability to operate effectively and efficiently in a challenging, fast-paced environment
Skilled in Microsoft Outlook, Word, Excel, PowerPoint, SharePoint and CoPilot
Proficiency in managing calendars and organizing travel
Experience creating and/or supporting presentation development for senior management
Ability to multi-task, assist multiple team members at the same time, and prioritize work effectively
Detail-oriented and able to complete work assignments with a high degree of quality
Demonstrated initiative, flexible, highly organized and can anticipate and resolve problems before they escalate
History of creative problem-solving, ability to work well collaboratively and under pressure
Positive and energetic personality that can help inject some fun into the focused, determined, software development teams onsite U.S. Applicants Only The estimated salary range for this positionis $78,400.00 to $ 121,500.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.

Work Hours Varies upon the needs of the department. Travel Requirements This position requires travel 5-10% of the time.
