Job Description

Overview We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with professionalism and enthusiasm. This role is vital in ensuring smooth daily operations, managing complex schedules, and providing exceptional administrative support. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent communication skills, and possess a proactive approach to problem-solving. Responsibilities Manage and coordinate complex calendars, appointments, and meetings for executives, ensuring optimal time management and prioritization. Prepare, proofread, and edit correspondence, reports, presentations, and other documents with accuracy and attention to detail. Maintain organized filing systems both physically and digitally using tools like Google Workspace and Microsoft Office Suite. Assist with office management tasks such as supply ordering, equipment maintenance, and overseeing front desk operations. Conduct data entry, manage records, process invoices. Coordinate travel arrangements, calendar management, and personal assistant tasks to ensure seamless scheduling for executives. Support clerical duties including typing, proofreading, filing, and maintaining office organization standards. Demonstrate excellent phone etiquette while managing multi-line phone systems to handle inquiries professionally. Experience Proven experience as an executive assistant or in a similar administrative role within an office environment. Strong computer literacy with proficiency in Microsoft Office (Word, Excel PowerPoint), and data entry skills. Prior experience with office management tasks such as filing systems, supply inventory, or front desk responsibilities is preferred. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Familiarity with clerical tasks including proofreading, document formatting, and maintaining accurate records is essential. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting. Knowledge of customer service best practices along with phone etiquette expertise to support internal teams and external clients effectively.
