Executive Assistant & Board Secretary 2.8 2.8 out of 5 stars Saginaw, MI 48601 Full-time Team One Credit Union 35 reviews Full-time Team One Credit Union | Full‑Time | Hybrid Team One Credit Union is seeking a full-time Executive Assistant & Board Secretary to provide high-level administrative support to the CEO and executive team. This role is hybrid, with four days in-office and one remote day per week , and plays a critical role in executive operations, board governance, and organizational effectiveness. Key Responsibilities Executive & Board Support Serve as the primary point of contact between executives and internal departments, Board members, vendors, and regulators, as directed. Act as the main liaison for the Board of Directors, maintaining professional, timely, and confidential communication. Assist in the preparation, facilitation, and follow-up of monthly Board meetings, including compiling and distributing accurate agendas, materials, and meeting minutes. Prepare, publish, and distribute monthly Board packets in an efficient and timely manner. Maintain official records, bylaws, and Board and committee meeting minutes in accordance with credit union policies and legal requirements. Administrative & Operational Support Screen, prioritize, and manage incoming correspondence, emails, phone calls, and inquiries. Draft outgoing correspondence and professionally convey messages on behalf of the CEO through written and verbal communication. Schedule executive management, Board, and committee meetings; take and distribute minutes promptly. Coordinate, attend, and document bi-weekly management calls, quarterly management meetings, and other meetings as directed. Prepare monthly management reports and provide weekly updates on outstanding projects identified by the CEO. Coordinate travel arrangements for the Board of Directors, CEO, and other designated staff. Manage company subscriptions and oversee notary applications and renewals. Make all arrangements for the annual planning conference and other executive-level events. Coordinate catering, room setup, and teardown for meetings, celebrations, and office events as needed. Survey the Board of Directors and Executive Team as requested. Technology & Productivity Leverage technology and emerging tools, including AI-enabled or automation features, to support scheduling, document preparation, reporting, and workflow efficiency. Collaborate effectively with the CEO and leadership team on internal and external projects requiring discretion and strong organizational skills. Required Qualifications Bachelor's degree in Business, Finance, or a related field. 3+ years of experience providing executive-level administrative support. Must maintain a high level of confidentiality. Strong organizational, time-management, and prioritization skills with exceptional attention to detail and accuracy. Proven problem-solving ability and sound judgment, particularly in sensitive or high-visibility matters. Comfort adopting new tools and using technology, including practical use of AI or automation, to enhance productivity. Experience with Board governance, recordkeeping, and meeting preparation. Proficient in Microsoft 365 (Teams, Word, Excel, PowerPoint) and virtual meeting tools. Preferred Qualifications Familiarity with credit union regulations, financial terminology, and governance standards. Compensation Starting wage will be determined based on skills, experience, and qualifications.
