Executive Assistant We are seeking a highly organized, proactive, and resourceful Executive Assistant to serve as a trusted partner to the CEO and Executive Team. This individual will manage executive operations, anticipate organizational needs, coordinate strategic initiatives, and ensure seamless execution of day-to-day business activities. The ideal candidate exercises exceptional judgment, maintains the highest level of confidentiality, and thrives in a fast-paced environment. Key Responsibilities Serve as the primary liaison for the CEO, managing communications with internal and external stakeholders while representing the organization with professionalism and discretion. Proactively anticipate executive needs by managing complex calendars, scheduling priorities, meeting logistics, and email communications. Support a high-volume executive inbox by prioritizing communications, drafting responses, resolving scheduling conflicts, and ensuring timely follow-up. Serve as a trusted advisor by maintaining awareness of organizational priorities and keeping the CEO informed of critical developments. Lead and coordinate executive-level projects by preparing reports, presentations, meeting materials, correspondence, and confidential documents. Partner collaboratively with Project Management, Finance, Accounting, Human Resources, and Operations to ensure organizational alignment. Support business development initiatives by coordinating meetings, tracking strategic relationships, supervising consultants, and following through on executive action items. Provide administrative support to the Executive Team, including meeting coordination, travel arrangements, expense reporting, timekeeping, and special events. Oversee office operations, vendor relationships, technology resources, workflow improvements, and administrative systems. Continuously identify opportunities to improve processes, streamline workflows, and implement solutions that enhance organizational effectiveness. Required Qualifications Bachelor's degree or equivalent professional experience. Minimum 3 years of executive administrative experience supporting C-level executives preferred. Exceptional organizational, project management, and time-management skills with meticulous attention to detail. Excellent written, verbal, and interpersonal communication skills. Demonstrated ability to manage multiple competing priorities independently while meeting deadlines. Advanced proficiency with Google Workspace, Asana (or other Project Management platform), Adobe Acrobat, and cloud-based collaboration platforms. Experience coordinating cross-functional teams and building collaborative relationships. Commitment to diversity, equity, and inclusion.
