The Executive Assistant will support our Chief Technology Officer by managing priorities, coordinating activities across the Technology organization, and helping ensure day-to-day operations run smoothly. This role requires exceptional organization, sound judgment, discretion, and the ability to anticipate needs in a fast-paced environment.
The ideal candidate is highly organized, intellectually curious, proactive, and eager to learn. They will serve as a trusted partner to the CTO, helping manage time and commitments, coordinate key initiatives, support leadership team activities, and foster a positive team culture. Strong communication skills, attention to detail, and a genuine interest in understanding the business are essential for success in this role.
This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday through Wednesday and the option to work remotely on Thursday and Friday.
Job DescriptionManage a complex calendar, proactively identifying conflicts, protecting focus time, and recommending prioritiesAnticipate needs, identify potential challenges, and provide solutions before issues ariseCoordinate meetings, leadership reviews, offsites, town halls, and other technology team eventsSupport the planning and execution of team-building activities, employee engagement events, and community initiativesPrepare meeting materials, agendas, presentations, and follow-up action items to drive accountability and executionManage domestic and international travel, detailed itineraries, and expense reportingServe as a key connector across the Technology organization, helping monitor team morale, culture, and employee experienceScreen and prioritize incoming communications, responding independently when appropriateBuild strong relationships with executive assistants and leaders across the company to facilitate collaboration and coordinationDevelop and maintain systems, processes, and documentation that improve organizational effectiveness and executive productivityHandle highly confidential information with professionalism, sound judgment, and discretionQualificationsMinimum 3 years of experience in an administrative, coordinator, project support, operations, or executive support roleDemonstrated ability to learn quickly, manage competing priorities, and adapt in a fast-paced environmentStrong intellectual curiosity and desire to understand how the business operatesHighly organized with exceptional follow-through and attention to detailComfortable interacting with leaders at all levels of the organizationOutstanding organizational skills and attention to detailNaturally proactive and solutions-oriented; brings recommendations and options, not just problemsExcellent written and verbal communication skillsComfortable asking questions and seeking context to continuously improve and learnProficiency in Microsoft Office, including PowerPoint, Outlook, Word, and ExcelStrong interpersonal skills with the ability to build trust and credibility across all levels of the organizationDemonstrated ability to maintain confidentiality and exercise discretion in sensitive situationsBachelor's degree preferred, though equivalent experience will be considered
Pay Range:
$40.00 - $41.00/hour. Final compensation will be dependent upon skills & experience.
