Full-Time About Birdies Golf Lounge Birdies Golf Lounge is a premium indoor golf, hospitality, and entertainment venue focused on delivering exceptional guest experiences. We are seeking a highly capable, resourceful, and proactive Executive Assistant to serve as a strategic right hand to the Owner. This is not a traditional administrative role. We are looking for someone who can think critically, solve problems independently, anticipate needs before they arise, and help drive operational excellence across multiple areas of the business. Position Overview The Executive Assistant will act as a trusted partner to the Owner, helping manage daily priorities, communications, projects, scheduling, vendor relationships, and business initiatives. The ideal candidate is exceptionally organized, highly adaptable, and thrives in a fast-paced entrepreneurial environment. You will serve as a second set of eyes on the business, helping identify opportunities, solve problems, and ensure important details never fall through the cracks. Key ResponsibilitiesExecutive Support Manage and coordinate the Owner's calendar, meetings, appointments, and travel arrangements. Prioritize competing demands and proactively adjust schedules when necessary. Draft, organize, and manage email communications and correspondence. Prepare meeting agendas, notes, action items, and follow-ups. Act as a gatekeeper and point of contact when appropriate. Business Operations Assist with operational projects and company initiatives. Identify inefficiencies and recommend solutions. Track tasks, deadlines, and priorities across multiple departments. Maintain organizational systems, documents, and records. Conduct research and provide recommendations for business decisions. Vendor & Partner Management Coordinate with vendors, contractors, suppliers, and service providers. Obtain quotes, negotiate logistics, and manage follow-through. Ensure vendor communication is professional, timely, and organized. Administrative & Personal Support Run business-related and occasional personal errands. Assist with reservations, appointments, purchases, and special projects. Handle miscellaneous requests and challenges with professionalism and discretion. Marketing & Growth Support Assist with marketing initiatives and promotional campaigns. Help monitor social media, partnerships, and community outreach opportunities. Provide insights and recommendations on customer experience, branding, and business growth opportunities. Support event planning, sponsorships, and strategic partnerships. Problem Solving & Project Management Anticipate issues before they become problems. Gather information, infer likely solutions, and execute independently when appropriate. Course-correct projects when priorities shift. Bring solutions, not just problems. QualificationsRequired Minimum 3+ years of Executive Assistant experience supporting an owner, founder, executive, or senior leadership team. Exceptional organizational and time management skills. Strong written and verbal communication skills. Demonstrated ability to problem-solve independently. High level of professionalism, discretion, and confidentiality. Proficiency with Google Workspace, Microsoft Office, and common business software. Ability to manage multiple projects simultaneously. Reliable transportation for errands and off-site responsibilities. Preferred Experience working in hospitality, entertainment, events, retail, or small business environments. Marketing, social media, or business development experience. Project management experience. Entrepreneurial mindset and strong business acumen.
