His time, focus, and energy directly impact company performance. This role exists to protect, organize, and maximize that time —every single day. This is not a traditional assistant role. This is a true right-hand partnership . You will operate with authority, discretion, and urgency, ensuring priorities move forward regardless of time, date, or complexity. When done well, this role keeps the CEO focused on strategy, growth, and leadership—not logistics or loose ends. About the Role We are seeking a high-trust, highly organized, proactive Executive Assistant who thrives in a demanding, fast-moving environment and takes pride in being indispensable. You will learn how the CEO thinks, works, prioritizes, and communicates—and then run interference , keep him on track, and make sure execution happens. This role requires someone who is confident, personable, detail-driven, and unshakably professional with everyone they interact with. Confidentiality is absolute. Execution is non-negotiable. What You'll Do (Specifics Matter Here) CEO Time & Priority Management Act as the daily gatekeeper of the CEO's time—what gets on the calendar, what doesn't, and why Schedule with intention: block focus time, sequence meetings logically, and prevent overload Proactively adjust the calendar in real time as priorities shift Keep the CEO on track daily—reminding, redirecting, and resetting priorities when needed Daily Execution & Follow-Through Maintain a living, daily task and priority list for the CEO Track all action items, deadlines, and commitments—nothing falls through the cracks Follow up with leaders and partners until deliverables are complete Provide daily updates on what's done, what's pending, and what's at risk Communication Management Triage inboxes, messages, and requests—responding or escalating appropriately Draft emails and messages in the CEO's voice (clear, concise, professional) Serve as a polished, friendly, and firm point of contact with executives, vendors, and internal teams Ensure communication stays respectful, timely, and aligned with priorities Meeting & Project Support Prepare agendas, pre-reads, and context before meetings Capture notes, decisions, and next steps Assign ownership and track progress after meetings Ensure outcomes—not just conversations Organization & Systems Maintain clean, searchable, and reliable document systems Keep naming conventions, folders, and workflows consistent Ensure there is always one source of truth Organize sensitive materials with precision and discretion Travel & Logistics Handle travel end-to-end: flights, hotels, transportation, itineraries Anticipate issues and have backup plans ready Adjust quickly when plans change Confidential & Sensitive Work Support high-level personnel, legal, financial, and vendor matters Handle sensitive information with total discretion—no leaks, no side conversations, no exceptions What We're Looking For Personal Traits Exceptionally trustworthy and discreet Polished, outgoing, and professional—every single day Calm, confident, and unflappable under pressure Strong judgment—knows when to escalate and when to quietly solve Comfortable pushing back respectfully when needed Takes pride in execution, not visibility Work Style Highly organized and detail-driven Action-oriented—moves fast without constant direction Anticipates needs days or weeks in advance Obsessed with follow-through and closing loops Protects the CEO's time fiercely Willing to go above and beyond as needed to keep priorities moving Communication Clear, concise, and professional Can be firm without being abrasive Represents the CEO and company well at all times Technical Skills Tech-savvy and organized Strong with Google Workspace and/or Microsoft 365 Comfortable with documents, spreadsheets, workflows, and task tracking Experience & Background 3+ years supporting a CEO, founder, or senior executive in a fast-paced environment Proven ability to manage complex schedules and competing priorities Strong writing skills and executive-level professionalism Experience handling confidential information with discretion Final Note This role is for someone who wants a long-term, high-trust partnership —not a stepping-stone position. If you take pride in being the person behind the scenes who makes everything run smoothly and keeps leadership focused and effective, this role will be incredibly rewarding.
