Based on experience About the Role I am looking for an experienced Executive Assistant & Operations Coordinator to support a growing online coaching business and personal brand. This role is best suited for someone who is highly organized, reliable, professional, and comfortable managing multiple moving pieces at once. The right person is tech-savvy, communicates well, follows through on commitments, and takes pride in keeping projects, schedules, and operations running smoothly. This is not an entry-level assistant position. I'm looking for someone with previous experience supporting executives, business owners, content creators, or fast-paced businesses who can quickly become a trusted right hand. The position is primarily remote but will include occasional in-person meetings, content shoots, events, and business-related errands throughout the Savannah area. About the Business I own Building Balance LLC, an online fitness coaching company that helps clients build muscle, lose fat, improve performance, and create sustainable habits. In addition to coaching, I create content across multiple social media platforms, work with brand partners, host events, and manage a team of contractors and coaches. As the business continues to grow, I need someone who can help create structure, maintain organization, and ensure important projects and responsibilities stay on track. Responsibilities:
Executive Support Calendar management and scheduling Coordinating meetings and appointments Managing travel arrangements and itineraries Monitoring deadlines and deliverables Organizing business documents and files Assisting with email management and follow-up Maintaining task lists and project timelines Preparing meeting notes and action items when needed Operations & Project Management Coordinating with team members and contractors Following up on outstanding tasks and projects Helping implement and maintain systems and processes Keeping projects organized and moving forward Assisting with onboarding and administrative tasks Organizing Google Drive and company resources Identifying inefficiencies and helping improve workflows Content & Brand Support Assisting with content planning and organization Coordinating content shoot logistics Tracking sponsorship obligations and deadlines Communicating with editors and contractors Maintaining content calendars and project timelines Local Support Running occasional business-related errands Assisting at events, seminars, or content shoots Supporting local projects as needed Qualifications Required Previous experience as an Executive Assistant, Operations Coordinator, Project Coordinator, Office Manager, or similar role Exceptional organizational skills Strong written and verbal communication skills Professional and confident communication style Strong attention to detail Ability to manage multiple priorities without things falling through the cracks High level of reliability and follow-through Strong problem-solving skills Comfortable learning and using new technology platforms Valid driver's license and reliable transportation Located within reasonable driving distance of Savannah, Georgia Preferred Experience supporting entrepreneurs, executives, or small business owners Experience working with content creators, influencers, marketing teams, or online businesses Familiarity with Google Workspace, project management software, scheduling tools, Canva with light graphic design, and CRM systems Experience managing projects and coordinating multiple stakeholders The Ideal Candidate The person who succeeds in this role is someone who: Is dependable and follows through consistently Communicates professionally and confidently Is highly organized and detail-oriented Can anticipate needs rather than waiting for direction Is comfortable working independently Is resourceful and proactive Enjoys creating systems and keeping things organized Can handle confidential information professionally Is comfortable in a fast-paced environment with changing priorities To Apply Please submit the following: Resume Brief introduction Relevant experience Availability An example of a project, system, or process you helped organize or improve In addition, please submit a video (90 seconds or less) answering the following: Tell me about yourself.
