Job Description

We're looking for an Operations & Executive Assistant who wants to become the right hand to a growing luxury real estate business. You'll help create systems, improve processes, implement new technology, and keep the business moving forward while working directly alongside the Team Leader. If you're someone who naturally notices inefficiencies, loves bringing order to chaos, and gets excited about improving how a business operates, you'll thrive here. We're not looking for someone to simply complete tasks. We're looking for someone who takes ownership. Who You Are You love solving problems before they become problems. You don't wait to be told what to do—you identify opportunities, make recommendations, and execute. You're incredibly organized without getting lost in unnecessary details. You enjoy building systems, documenting processes, and finding better ways to get things done. You're just as comfortable communicating with clients as you are spending an afternoon building a new workflow or researching AI tools that make the business more efficient. Most importantly, you care about doing excellent work and helping build something meaningful. What You'll Do As our partner in business operations, you'll own the day-to-day operations that keep our business organized, efficient, and growing. As we grow, you'll have the opportunity to create systems, hire support where appropriate, and delegate administrative tasks so you can continue focusing on higher-level operations, strategy, and business growth. Executive Support Manage calendars, email, phone communications, meeting agendas, and follow-up action items. Help prioritize the Team Leader's time and ensure nothing falls through the cracks. Operations & Systems Build, document, and improve systems, workflows, and Standard Operating Procedures (SOPs). Identify opportunities to improve efficiency through technology and AI. Develop scalable processes that support the company's continued growth. Listing & Transaction Coordination Coordinate vendors, repairs, inspections, photography, staging, and listing marketing. Prepare listing and buyer consultation materials Work with the transaction coordinator to oversee the contract-to-close process Business Operations Manage office operations, vendor relationships, supplies, budgets, expenses, and administrative processes. Track lead generation activities, business metrics, and company goals. Maintain CRM databases and ensure accurate reporting. Marketing & Client Experience Coordinate email marketing, social media, client events, farming campaigns, mailings, branded materials, client gifts, pop-bys, and other marketing initiatives. Help execute marketing plans that strengthen client relationships and grow the business. Team Growth Assist with hiring, onboarding, training, and maintaining team standards. Coordinate team meetings, project meetings, and accountability initiatives. Support the company's growth by identifying operational gaps and recommending solutions. Requirements & Qualifications Previous Real Estate support experience Exceptional organization and project management skills Outstanding written and verbal communication High attention to detail Strong problem-solving ability Self-starter who follows through without constant supervision Comfortable learning and implementing new technology Google Workspace proficiency Ability to manage multiple priorities in a fast-paced environment Preferred Qualifications Experience improving business operations, workflows and creating SOPs Familiarity with AI tools such as ChatGPT, Claude, or similar platforms Experience with CRM platforms and transaction management software Marketing coordination or project management experience You'll Love This Role If You...
