Job Description
About the Role We are seeking an experienced, highly organized, and proactive Executive Assistant to support the CEO/ Owner of a growing business. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys keeping people, projects, and priorities organized. While this position is primarily remote, candidates should be located within reasonable driving distance of Linden, California, as occasional in-person meetings, events, or projects may require onsite attendance. This is more than a traditional administrative role—we're looking for a trusted partner who can help maximize the CEO's effectiveness by managing schedules, coordinating communications, organizing projects, and handling confidential information with professionalism and discretion. Key Responsibilities Manage the CEO's calendar, appointments, and meeting scheduling. Coordinate travel arrangements, itineraries, and accommodations. Screen and prioritize emails, phone calls, and correspondence. Prepare meeting agendas, presentations, reports, and other documents. Track action items and ensure timely follow-up on projects and deadlines. Coordinate meetings, take notes, and distribute meeting summaries when needed. Assist with personal and business-related tasks as assigned. Maintain organized digital files and documentation. Communicate professionally with clients, vendors, and business partners. Research information, gather data, and prepare executive summaries. Support special projects and help improve administrative processes. Handle sensitive and confidential information with the highest level of discretion. Qualifications 3+ years of experience supporting an executive, business owner, or senior leadership. Exceptional organizational and time management skills. Strong written and verbal communication skills. Ability to prioritize multiple tasks while meeting deadlines. High level of professionalism, discretion, and integrity. Self-motivated with the ability to work independently in a remote environment. Strong attention to detail and problem-solving skills. Proficiency with Microsoft Office and Google Workspace Experience using calendar management, video conferencing, and project management software is preferred. Comfortable learning new technology and systems quickly. Preferred Qualities Anticipates needs before being asked. Calm under pressure and adaptable to changing priorities.
