Honor | Integrity | Servant Leadership | Innovation | Diligence Position Summary SOAR Partners is seeking a high-performing Executive Assistant to serve as a strategic partner to our leadership team. In this role, you will act as the operational "anchor" for the firm's Founder & Chief Executive Officer ("CEO"). You will bridge the gap between executive vision and daily execution, managing the CEO'S demanding client and travel schedule. This role is designed for a professional who thrives in a fast-paced environment and is dedicated to ensuring the CEO's priorities are well supported in a professional manner. In addition to the ability to having outstanding execution skills, this position also requires discretion, trust, and a professional demeanor with clients and prospects that reflect the brand of SOAR and the CEO. Some travel may be required. Support of the CEO's and SOAR's philanthropic activities in terms of the scope of work.
Core Responsibilities Complex Calendar & Meeting Management Schedule Control:
Maintain full authority over the CEO's calendar, ensuring it accurately reflects all upcoming commitments.
Strategic Scheduling:
Manage meeting volume and timing to protect productivity, generally limiting sessions to three per day. Coordinate specific high-intensity sessions for optimal times in the day to manage cognitive load. Ensure appropriate buffer times and breaks of at least 15 minutes are maintained between all engagements. Protect specific time blocks, such as mornings or certain weekdays, unless prior approval is granted. Provide text or verbal communication of meeting starts and stops.
Meeting Logistics:
Define and confirm all meeting details, including physical locations, navigation instructions, or digital access links. Ensure a clear purpose or agenda is established and documented for every scheduled meeting. Finalize and confirm the upcoming daily schedule by 5:00 PM each evening.
Email & Communication Management Inbox Oversight:
Review and organize the CEO's inbox, filtering priority communications and identifying items for immediate awareness.
Correspondence:
Read, draft, and respond to emails on behalf of the CEO.
Decision Support:
Identify required decisions from incoming correspondence and compile necessary information to facilitate timely responses.
Records Management:
Maintain organized documentation and specialized folders for critical professional correspondence.
Business Development & Pipeline Support Opportunity Tracking:
Monitor relevant portals and schedules for new business opportunities.
Research & Summarization:
Utilize AI tools to develop concise, structured summaries of potential projects, highlighting key requirements and qualifications.
Workflow Management:
Update internal tracking systems and provide regular deadline reminders to the CEO and Managing Partner.
Documentation:
Archive all relevant project files and materials in centralized company folders.
Social Media & Brand Support Platform Management:
Maintain a consistent professional presence on the CEO's social media accounts and linkage to SOAR Partners social media platforms.
Content Coordination:
Draft and schedule regular updates, ensuring all content is reviewed and approved before posting. Other duties as assigned.
Required Skills & Qualifications Availability:
Must be available Monday through Friday, 11:00am to 5:00 PM, to provide support within the 15-25-hour weekly requirement. Must be willing to respond to calls or texts outside of the 11:00am-5:00pm window as needed. Must be available to be in the office when CEO requests "in person" meeting, especially when CEO is in Tulsa (approximately 50% of the time).
Technical Proficiency:
Skilled in calendar management software and video conferencing platforms. Experienced with project management tools, time-tracking software, and file-sharing systems. Time, accurate, and professional execution is critically important. A professional presentation to clients, prospects, staff, and clients as the representative of the CEO is essential. Professional Judgement for supporting the CEO in reducing his heavy administrative load. Proficient in navigating professional social media networks and industry portals.
Administrative Support:
Ability to coordinate complex business and personal travel arrangements for the
CEO Communication:
Exceptional writing and organizational skills, with the ability to represent the CEO professionally across various channels.
Pay:
$20.00 - $23.00 per hour
