We run at a VERY fast pace across golf operations, new course acquisitions, partnerships, legal, finance, and a bunch more. We're after one extremely sharp, extremely detail-oriented person to be my right hand: run my email, calendar, chase the follow-ups, and keep a hundred small things from falling through the cracks so I can stay focused on the big ones. This is not a "sit at the front desk" admin job. It's a high-trust, high-autonomy role working directly with a CEO who moves fast, communicates directly, and will give you real responsibilities from day one. What You'll Actually Do Own the inbox. Triage all emails. Flag what needs me, archive the noise, and make sure nothing with a deadline ever slips. Own the calendar. Schedule meetings with county officials, partners, vendors, and golf industry contacts. Confirm, reschedule, prep me with context before every one. Chase everything down. Vendor quotes, invoices, contracts out for signature, permits, insurance certificates, RFP deadlines — you track it, you follow up, you close the loop. Coordinate with our team. Work daily with our accountant, Ops, events lead— routing requests, getting answers and keeping projects moving. Handle documents. Prep and send contracts via DocHub, keep our Google Drive organized, maintain trackers and checklists, pull together one-pagers and meeting notes. Support events and projects. Tournaments, fundraisers, community partnerships, junior golf programs — help lock in details and logistics behind the scenes. The Skill Set (Non-Negotiable) Detail-obsessed. You catch the tyypo, the double-booking, the unpaid invoice, the missing attachment — before anyone else does. Digitally fluent. You're fast and confident across Gmail / Google Workspace (Docs, Sheets, Drive, Calendar) and can pick up any new platform in a day. We run on tools like DocHub, QuickBooks, Slack, Canva, Airtable, Lightspeed and Square — you don't need to know them all, but you need to be the kind of person who figures them out fast. AI-comfortable. We use AI tools heavily. If you already do too, big plus. If not, be ready to learn. A strong writer. Clear, professional, warm, and fast. Discreet with a high Moral Compass. You'll see financials, discrete deal matters, deals, and personnel info. Confidentiality is absolute. Proactive and Self-managing. You don't wait to be told twice. You keep your own task list, prioritize on your own, and tell me what you need instead of the other way around.
