Job Overview We are seeking a dynamic and highly organized Executive Assistant/Secretary to join our team! This vital role offers the opportunity to support senior executives by managing their schedules, coordinating projects, and handling a wide range of administrative tasks with energy and precision. Duties Manage and coordinate complex calendars for executives, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace. Provide comprehensive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and handling data entry with accuracy. Organize and facilitate company events, meetings, and conferences from planning stages to execution, ensuring all logistics are handled efficiently. Handle internal communication channels to ensure timely dissemination of information across departments; collaborate closely with C-suite executives to prioritize tasks. Oversee office management duties including filing systems, front desk responsibilities, multi-line phone systems, and maintaining office supplies inventory. Utilize productivity software such as Microsoft Office Suite and Google Workspace to prepare reports, presentations, and spreadsheets. Coordinate business travel arrangements using booking platforms like DocuSign for approvals; manage expense reports and bookkeeping tasks utilizing QuickBooks or similar software. Maintain confidentiality when handling sensitive information; practice excellent phone etiquette and professional communication at all times. Skills Proven experience as an executive assistant or secretary with strong office management capabilities. Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and video conferencing software such as Zoom or Microsoft Teams. Strong typing skills along with excellent proofreading and transcription abilities. Experience in event planning, project coordination, and managing complex schedules for senior leadership. Knowledge of bookkeeping practices using QuickBooks or similar accounting software; familiarity with data entry and clerical procedures. Excellent interpersonal skills including phone etiquette and internal communication techniques; ability to collaborate effectively with diverse teams including C-suite executives. Technical proficiency in office equipment management; adept at handling confidential information with discretion.
