Highly flexible — largely set your own hours About the Role We are a small software company looking for a highly capable, organized, and resourceful person to work directly with the founder. This is not a traditional administrative assistant position. The role is a mix of office management, light bookkeeping, executive assistance, and personal projects. The ideal person enjoys variety, takes initiative, and is comfortable being handed something unfamiliar and figuring out how to get it done. The position will start at approximately 10 hours per week with a very flexible schedule. Most work can be done remotely, although you'll need to come to our Lockport office or meet in person a few times per month. For the right person, there is an opportunity for the role to grow over time into a larger project management position. What You'll Do Responsibilities will vary from week to week and may include:- Categorizing company financial transactions
- Paying bills and keeping track of upcoming payments
- Preparing and sending customer invoices
- Handling occasional payroll and employee-related administrative tasks
- Managing company mail, records, purchases, vendors, insurance paperwork, and other office administration
- Helping with scheduling, travel, research, purchases, returns, and other business tasks
- Handling a variety of personal administrative projects for the founder
- Helping sell personal property such as vehicles, an Airstream trailer, equipment, and other items — researching values, creating listings, communicating with potential buyers, and coordinating sales
- Running occasional local errands or meeting someone in person when needed
- Researching unfamiliar problems and figuring out the best way to get them handled
- Taking ownership of miscellaneous projects that don't fit neatly into anyone else's job description Initially, this is primarily a behind-the-scenes role with limited customer interaction.
You should be:
- Highly organized and dependable
- Comfortable working independently
- Good at figuring things out
- Detail-oriented, particularly when working with financial information
- Comfortable handling confidential business and personal information
- A strong written communicator
- Comfortable with spreadsheets, online banking, web-based business tools, and learning new software
- Very comfortable using ChatGPT or similar AI tools to research, write, organize information, solve problems, and accomplish unfamiliar tasks
- Able to manage several unrelated projects without losing track of details
- Within reasonable driving distance of Lockport and able to meet in person a few times per month Formal executive-assistant experience isn't necessarily required.
