Part-Time (10-20 hours/week) with opportunity for Full-Time About the Role We are seeking a highly organized, proactive, and detail-oriented Executive & Personal Assistant to support a busy entrepreneur managing multiple businesses, real estate projects, and family responsibilities. This individual will serve as a trusted right hand, helping coordinate business operations, personal affairs, scheduling, financial tracking, and project management. Key Responsibilities Administrative & Executive Support Manage calendars, appointments, meetings, and travel arrangements Screen and organize emails, correspondence, and documents Coordinate vendors, contractors, architects, consultants, and service providers Prepare reports, spreadsheets, and presentations Track important deadlines and follow up on action items Financial & Bill Management Monitor and pay personal and business bills Track expenses and maintain financial records Organize receipts and documentation for bookkeeping and accounting Assist with budget tracking and monthly financial reporting Coordinate with accountants and financial advisors Business Operations Support operations for educational and wellness businesses Assist with permits, licenses, inspections, and regulatory filings Manage vendor relationships and contract administration Research products, services, and business opportunities Help coordinate marketing and special projects Personal Assistance Schedule medical appointments, family activities, and household services Coordinate childcare, household staff, and service providers Manage personal errands and special requests Assist with travel planning and itinerary management Maintain organization of important personal records and documents Qualifications College Student or graduate 1-3years of experience as an Executive Assistant, Operations Coordinator, Office Manager, or similar role Exceptional organizational and multitasking skills Strong written and verbal communication skills Proficiency with Microsoft Office, Google Workspace, and spreadsheets Experience with QuickBooks, bookkeeping, or financial tracking preferred Ability to maintain strict confidentiality Strong problem-solving skills and attention to detail Self-starter who can work independently with minimal supervision Preferred Qualifications Experience supporting business owners or entrepreneurs Familiarity with permit applications, licensing, or project management Experience in education, healthcare, wellness, fitness, or professional services Local knowledge of Bergen County and surrounding areas Compensation Competitive hourly rate: $25-$40+ per hour, based on experience Flexible schedule Opportunity for growth into a full-time leadership support role Ideal Candidate The ideal candidate is resourceful, highly dependable, organized, and enjoys bringing order to complex schedules and projects.
