Job Overview Executive & Personal Assistant to Owner | Hybrid Lancaster County, PA Part-Time | 25 Hours per Week Hybrid | Remote + Approximately 2 Days In-Person $30-$35/hour, depending on experience About the Role I am seeking a highly organized, proactive, and resourceful Executive & Personal Assistant to provide high-level support across both my professional and personal life. As the owner of a growing financial services organization, my days move quickly and involve leadership, client relationships, business development, family responsibilities, travel, and multiple ongoing priorities. I am looking for someone who can become a trusted right hand—someone who doesn't simply complete assigned tasks, but anticipates needs, creates systems, follows through, and helps bring order and efficiency to a fast-paced environment. This is a hybrid role combining traditional executive assistance with personal and household administration. The ideal candidate is exceptionally organized, trustworthy, confident, solution-oriented, and comfortable working independently. Key Responsibilities Executive Support Manage calendars, appointments, scheduling, and meeting logistics Maintain task lists, deadlines, reminders, and follow-up systems Coordinate travel, events, meetings, and other logistics Organize documents, records, and administrative information Assist with correspondence and routine follow-up Coordinate with staff, clients, vendors, and outside professionals Identify opportunities to streamline, automate, and improve recurring processes Help protect the Owner's time by prioritizing and organizing incoming requests Personal & Household Administration Manage personal paperwork, mail, appointments, and administrative tasks Coordinate household vendors, services, maintenance, and scheduling Assist with family calendar coordination and school/activity logistics Manage returns, orders, reservations, and occasional errands Track important household deadlines, renewals, and recurring obligations Help create and maintain simple organizational systems for a busy household This is not a housekeeping or childcare position. The Ideal Candidate The person who will thrive in this role is someone who: Is exceptionally organized and detail-oriented Takes initiative without requiring constant direction Has excellent follow-through and completes tasks from beginning to end Naturally anticipates needs and identifies problems before they become urgent Is comfortable managing multiple priorities simultaneously Communicates professionally and confidently Is technologically proficient and learns new systems quickly Exercises excellent judgment and discretion with confidential information Is comfortable working with a fast-paced entrepreneur and changing priorities Enjoys creating structure, processes, checklists, and systems Is comfortable respectfully holding an executive accountable when needed Approaches problems with a "I'll figure it out" mentality Preferred Experience Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Household Manager, Project Coordinator, Operations Coordinator, or similar high-responsibility administrative role is strongly preferred. Experience supporting an executive, entrepreneur, business owner, or high-demand household is a plus. Exceptional organizational ability, judgment, initiative, and reliability are more important than having a specific degree. Schedule & Work Environment This position will begin at approximately 25 hours per week . The role is hybrid , with much of the administrative work able to be completed remotely and approximately two days per week requiring in-person availability in Lancaster County , depending on current needs. Some flexibility in scheduling is important. There is significant opportunity for this position to grow in hours, responsibility, and compensation for the right person. Compensation $30-$35/hour, depending on experience and qualifications. What Success Looks Like Within the first 90 days, the successful candidate will have helped establish reliable systems for scheduling, paperwork, deadlines, household administration, follow-up, and recurring responsibilities. The ultimate goal of this position is simple: Reduce the number of administrative details the Owner needs to personally remember, manage, and follow up on.
